The Legal Document Management System Administrator specializes in managing, maintaining, and enhancing the document management system, focusing on legal documents such as contracts. Essential Functions & Responsibilities:

  • Oversee the document management system, focusing on legal document workflows and processes using Nintex, iManage, and Hyland's Perceptive Software.

  • Configure and manage system settings to support the storage, retrieval, and management of legal documents, including contracts and agreements.

  • Manage credentials and user set up for each document management system, including facilitating access to systems and user changes

  • Ensure access control and security measures are in place to protect sensitive legal information, in compliance with legal standards and data protection laws.

  • Provide training and support to employees, ensuring efficient use of the document management system for company operations.

  • Monitor system performance, conducting audits to maintain compliance with legal regulations and organizational policies, particularly for document retention and disposal.

  • Manage troubleshooting and help requests regarding the document management systems.

  • Collaborate with legal, IT, and compliance teams to develop policies, improvements and procedures that support effective legal document management.

  • Manage system upgrades and integrations, particularly with Nintex for workflow automation, iManage for document and email management, and Hyland's Perceptive Content for content services.

  • Act as the primary liaison with software vendors for technical support, system updates, and troubleshooting.

Qualifications :

  • Bachelor’s degree in Information Technology, Computer Science, or related field, with a specialization in legal document management.

  • Extensive experience in administering document management systems, specifically iManage, Nintex, and Hyland's Perceptive Software.

  • Strong understanding of legal document workflows, compliance requirements, and data security in the context of legal services.

  • Demonstrated ability to train and support legal teams in a document management system environment.

  • Proven track record in managing data privacy and security in the handling of legal documents.

Desired Skills :

  • Expertise in Nintex workflow automation, iManage document management, and Hyland's Perceptive Content software.

  • Deep knowledge of legal processes and documentation management, including contract lifecycle management.

  • Proficiency in implementing and managing cloud-based document management solutions within legal frameworks.

  • Advanced project management skills, with the ability to oversee technology initiatives in the legal domain.
