If you want to have a hands-on global impact on payment solutions, we want you to join our team as an Executive Assistant. This is a full-time hybrid position based in our Williston, SC location.

Primary Function:

The primary responsibility of this individual is to maximize the effectiveness of the site leadership by providing top level administrative support. This individual should have prior administrative support experience, ability to manage priorities, handle confidential materials and exhibit poise, tact, diplomacy, and good organizational skills.

Responsibilities and Duties

  • Primary duty includes performing advanced, diversified and confidential administrative and related functions for the Site Leader. Exercises high degree of independent judgment and decision making in performing assigned tasks and has considerable latitude and flexibility in prioritizing work and meeting deadlines.

  • Professionally represent the facility Site Leader when greeting guests, organizing company events, reviewing correspondence, and responding to inquiries made to the Site Leader .

  • Consistently review and reengineer processes and tools to increase efficiency and continuously improve service levels to the Site Leader and other members of leadership at the site.

  • Manage vendor relationships, negotiate contracts with vendors for meeting planning and company-wide events.

  • Provides sophisticated calendar management. Prioritizes inquiries and requests while troubleshooting conflicts with little guidance; makes judgments and recommendations to ensure smooth day-to-day engagements.

  • Supports key visitors during their visit to the office.

  • Plans and executes meetings, videoconferences, audio conferences and Site Leader and executive attendance at business functions.

  • Provides travel arrangements for Site Leader. Becomes familiar with the specific, detailed needs of the Site Leader in order to create consistent travel itinerary portfolios for reference and be available during travel times to quickly address any last minute changes or cancellations.

30% General Administration

  • Maintain calendar(s) and administer time tracking system

  • Provide administrative support to key site visitors

  • Consistently review and reengineer processes to increase efficiency and continuously improve service levels

5% Travel

  • Maintain travel itineraries, prepare global travel schedules, and obtain travel visas as necessary, manage changes that occur during travel as needed

  • Manage expense reports

5% Meeting Planning

  • Plan and coordinate meetings, videoconferences, audio conferences and executive attendance at business functions

  • Organize meeting travel, logistics, communications, etc.

  • Work with vendors to secure venues, menus, etc.

25% Communications

  • Manage communications

  • Manage internal email distribution/contact lists as needed

  • Assist in presentation development/edits as required in preparation for meetings and communication sessions; arrange communication sessions, including effective communications to ensure participation, reserving rooms, managing audio, video and WebEx functions.

5% General office support and other projects as assigned

  • Annual sales meetings, quarterly town halls or company events

30% Other duties as assigned:

PHILANTHROPY

  • Scheduling and coordination of all Williston philanthropical events

  • Obtaining volunteers for all philanthropical events

  • Submitting all philanthropical/volunteer event data to corporate, including, photo release forms, quotes, pictures, etc. at the end of each month

  • Keeping track of all philanthropical event data throughout the year, volunteers, hours per event, etc.

  • Creating slides for each philanthropic event to post on the message boards throughout the plant in order to motivate and inspire volunteers

  • Distribute volunteer t-shirts to each volunteer for the events

  • Responsible for gathering and compiling all Crane Fund for Widows and Children (CFWC) nominations and ensuring that all necessary documentation is submitted correctly before forwarding to corporate

  • Distribution of all checks to CFWC sponsors for their charities and obtaining confirmations of checks being given to the charities. i.e. – photo release forms, pictures, etc.

· Qualifications and Required Skills

  • Associate’s or Bachelor’s degree in Business Management or related field, or equivalent combination of education

  • A minimum of 10 years administrative expertise preferably in a global manufacturing/business environment

  • Applicants must be authorized to work for ANY employer in the US. We are unable to sponsor or take over sponsorship of an employment Visa at this time.

  • Outstanding organizational skills with the ability to handle multiple tasks simultaneously, attention to detail and commitment to excellence

  • Ability to access information using automated systems (e.g., windows-based computer); experience with spreadsheets (Excel preferred) and word processing (Word preferred); expertise, PowerPoint expertise, expense processing (Concur)

  • Ability to effectively manage to a budget (specifically for events)

  • Excellent verbal and written communication skills.
