Title: Executive Assistant and Office Administrator

Status: Full time, Exempt

Location: In-office, 9am-5pm, Monday - Friday

In this role you will serve as the Office Administrator and Executive Assistant primarily to our VP, CEO, and other members of leadership on occasion. This role is very active and will necessitate a valid driver's license, reliable transportation, and a willingness and ability to attend and participate in the occasional after work or weekend events.

The responsibilities are:

Front Desk Management:

  • Answer and screen incoming calls, providing a professional and friendly first point of contact
  • Greet visitors, clients, and employees, ensuring a warm and welcoming atmosphere

Office Operations:

  • Manage relationships with building management to ensure a smooth and efficient office environment
  • Receive, distribute, and send out mail and packages promptly
  • Maintain a clean, organized, and welcoming office space

Executive Support:

  • Providebothhigh-leveland detailedsupport to the Vice President (VP) andCEO, catering to their needs and preferences
  • Fully manage the"in-office" calendar, coordinatingschedules,appointments, meetings, deliveries, office closures, reserving meeting space andprocuringany necessarysnacks and beverages

Travel and Event Coordination:

  • Make travel arrangements for executives, including flights, accommodations, and transportation, with an impeccable eye for detail,comfortand convenience
  • Plan and organize special occasions and celebrations for the team and individual milestones
  • Collaborate and coordinate events with outside entities for company and charity events

Financial Administration:

  • Reconcile expenses, ensuring accuracy and compliance with company policies
  • Support the Finance, Accounting and Contracts department leadership on occasions

Team Support:

  • Provide a proactive and caringdemeanor,fostering a positive work environment for all employees
  • Occasionally support other executives with administrative tasks

Meeting Arrangements:

  • Order lunches and coordinate other meeting arrangements to ensure a seamless and productive experience
  • Alongside leadership (and occasionally our events partner), support the execution of company or private eventswith such tasks asprogramlogistics, on-site event management, vendor communication, and creatingmarketing and promotional materialswith theass stanceof our design studio

Adaptability and Customer Service:

  • Handle last-minuteobjectivesand tasks with a positive attitude and exceptional customer service
  • Run errands outside of the office including order, and pick up lunches for CEO, return packages, deliver packages to couriers, pick up dry cleaning, etc.
  • Maintain a professional demeanor in all interactions,representingthe company in the best possible light

Qualifications:

  • Associatesdegree in related field preferred
  • Proven experience as an Office AdministratorANDExecutive Assistant
  • Ability to adapt to changing priorities and work effectively in a fast-paced environment
  • A proactive mindset and the ability to take initiative
  • Strong organizational,multitasking, customer service and project managementskills
  • Excellent communication and interpersonal abilities
  • Proficient in MS Office Suite and office management software
  • Discretion and confidentiality in handling sensitive information
  • Must be a US Citizen
  • Must be able to pass a background investigation prior to hire
  • Must have valid driver's license and vehicle to run errands and attend events

Salary and Benefits

  • Salary $50,000 - $68,000, based on experience
  • Benefits include medical/dental/vision coverage, company sponsored Life and Disability insurance, and paid vacation/sick/holidays, and more.

Schedule

  • Monday to Friday;40 hoursper week, with occasional after hour events
  • This is anin-officepositionlocatedatour headquartersin Washington, D.C.
  • This role will include occasional attendance at and participation in after work or weekend events

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
