About the position:

This position is responsible for all facility management and facilities tasks. Focused on ensuring employee safety, well-being, and productivity; facility functionality, cost effectiveness and aesthetics and the right-to-operate within the community.

Optimal functioning of the Facilities department and performing EHS tasks.

Support the IFF sites and its employees in the areas of housing, technical installations, grounds maintenance, mobile telephony, health & safety, catering, cleaning, reception, waste control, workspace planning, lease cars etc.

Duties and responsibilities

Management:

  • Coaching, training and conducting evaluation and assessment conversations.

  • Optimizing and documenting work processes.

  • Maintaining and building contacts with internal customers and external suppliers in a wide range of facilities tasks.

  • Communication with governmental and local authorities.

  • Managing Facilities related contracts (i.e. Security, Cleaning, Catering, AV equipment, waste & document disposal, archives).

  • Responsible for safety & security programs for the sites in Poland.

  • Demonstrating a pro-active response to internal and external developments.

  • In leased facilities, working closely with the landlord, Real Estate representatives, site business leadership and other stakeholders to ensure facilities services are being delivered to meet business needs.

  • Responsible for developing and controlling the Facilities operating expenses and capital budgets.

  • Ensuring that there are or will be developed and kept up to date appropriate emergency response plans.

  • Preparing and managing the FSRE Capital & Opex budget and will be the project manager for FSRE related projects.

  • In this position no management of direct reports is included

This is a 100% office-based position

Facilities tasks

  • Executing daily Facilities tasks

  • Taking note and meeting the regulations by local and Polish authorities and IFF Corporate policies and procedures

  • Implementing energy conservation, recycling, and other programs to reduce environmental carbon footprint

  • Collections of required documents for ASB

  • Performing and following up on safety audits

  • Planning in-house or off-site activities like parties, celebrations and conferences

  • Performing any other Facilities related tasks.

About You

Requirements and skills

  • 3+ years maintenance/facility management experience

  • Proficiency in MS Office (MS Excel and MS Outlook in particular)

  • Knowledge of Office administrator responsibilities

  • Excellent written and verbal communication skills both in Polish & English

  • Strong organizational and planning skills

  • Attention to detail and excellent problem-solving skills.

  • Skills in handling multiple tasks and projects

  • Self-motivation and independence

  • Strong customer/hospitality service and communication skills

  • Valid Polish driving license and ability to visit various locations.
