Job Summary

The Travel Specialist III under general supervision, coordinates the overall administration of the travel card program and serves as a resource for travel-related issues.

Essential Duties and Responsibilities

Customer Service

  • Acts as the liaison between the travelers and the credit card company to resolve transaction issues.

  • Acts as liaison between the travelers and vendors to resolve issues, as needed.

  • Manages all physical credit card aspects including ordering new or replacement credit cards, or maintenance of credit card limits per department supervisor approval.

  • Provides customer service to faculty and staff on all travel related issues, which includes but is not limited to, providing guidance on employee/student, foreign, prospective employee travel, one-on-one sessions, phone calls, or email.

  • Provides travel training to faculty and staff.

Data Processing

  • Processes applications for travel cards within guidelines and supervisor’s approval. Ensures all required permissions and documentation are on file.

  • Sends notifications / demand letters for outstanding balances

Reporting & Reviews

  • Audits and approves travel expense reports daily.

  • Issues tax withholding in accordance with the travel policy.

  • Generates monthly travel card statements and reports.

  • Maintains standard operating procedures for all tasks pertaining to this position.

Minimum Requirements

Education – High school diploma or equivalent combination of education and experience

Experience – Five years of related experience.

Knowledge of – Knowledge of word processing and spreadsheet applications.

Ability to – Ability to multitask and work cooperatively with others. Strong interpersonal and organizational skills. Excellent verbal and written communication skills.

Supervision of Others

This position generally does not supervise employees.

Other Requirements

  • Work beyond normal office hours and/or work on weekends.
