The Senior Administrative Coordinator I is responsible for providing high-level complex, confidential and professional administrative support to the Assistant Dean of Business Services and the Director of Finance, Academic Operations. This positions liaisons between the college, departments, and various university administrative offices.

What you need to know

Salary: Compensation will be commensurate to the selected hire’s experience.

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience.

  • Six years of experience in office administration.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications. Interpersonal and communication skills.

  • Planning and organizational skills.

  • Ability to multitask and work cooperatively with others.

Preferred Qualifications:

  • Experience with Business Objects and/or reporting tools.

  • Experience in business administration, finance, or project management

Essential Duties/Tasks:

Administrative Support for Assistant Dean of Business Services and Director of Finance, Academic Operations

  • Provides direct support to the assistant Dean of Business Services Director of Finance, Academic Operations.

  • Drafts and manages correspondence and communications, schedules appointments, manages calendar, and coordinates travel.

  • Prepares travel arrangements and itineraries and may approve and process travel reimbursements.

  • Ensures that documents requiring signature by Assistant Dean of Business Services and Director of Finance, Academic Operations are process in a timely manner (Adobe Sign and DocuSign).

  • Prepares meeting agendas and makes logistical arrangements for meetings and special events.

  • Maintains annual calendar of business-related due dates and assists in planning and preparation of projects to meet due dates.

General Administrative Support

  • Coordinates administrative support for the Finance and Business Service team that supports Veterinary Medicine and Biomedical Sciences.

  • Plans, implements, coordinates, analyzes, monitors, and evaluates administrative support functions.

  • Analyzes internal processes and timelines.

  • Coordinates workflow and promotes communication between functional areas and outside units.

  • Back-up for maintaining and updating an active list of Veterinary AgriLife employees through AgriLife People website.

  • Sets up surveys for project needs. Complies and reviews data for university & national reports.

  • Reviews and edits memos and correspondence.

  • Plans and coordinates meetings, workshops, and special events.

  • Performs miscellaneous duties as assigned, which may include advanced desktop publishing, presentation, and data management activities.

Accounting Support & Other Duties

  • Updates the balances on the Dean’s accounts.

  • Gathers data for university & national reports.

  • Coordinates purchasing activities for supply orders and other items as needed.

  • Processes invoices for payment and requisitions (POs) in Aggiebuy for departments’ approval.

  • Prepares department credit card reports in Concur.

  • Collaborates with team members to create and update reports in Business Objects based on finance and business services needs and requirements.

  • Reviews faculty positions for funding sources/account numbers through Faculty Affairs Portal.

  • Reviews asset transmittal forms prepared by the Development Office for accuracy for the Assistant Dean of Business Services’ approval.

  • May enter scholarship award information into the university system.
