DAY IN THE LIFE

This position supports the management of sponsored projects and performs a wide range of technical accounting analysis and reporting within assigned areas of TAMU-CC sponsored research administration. This position provides direct support to Grant Administrator personnel in the Office of Sponsored Research Administration.

RESPONSIBILITIES

Sponsored Projects Accounting: 40%

  • Reconciles cost-reimbursable invoices to ensure expenses are reported in compliance with the project budget, with regulations stipulated by the granting agency and in accordance with TAMUS and TAMU-CC's fiscal policies and procedures. Prepares sponsor required invoice forms as needed.

  • Monitors and reports cost sharing to sponsoring agencies and departmental research administrators.

  • Responsible for Accounts Receivable collections for Sponsored Invoices.

  • Demonstrates knowledge of sponsored project accounting and generally accepted accounting principles.

  • Under general supervision, performs and achieves results with a high degree of accuracy.

    Sponsored Projects Compliance: 40%

  • Demonstrates knowledge of grant accounting and generally accepted accounting principles (accounting theory, standards and practices). Demonstrates knowledge of OMB 2 CFR 200, Uniform Administrative Requirements, Cost Principles and Audit Requirements for Federal awards. Ensures compliance with all State, Federal, and A&M System rules and regulations.

  • Reviews and approves financial transactions on sponsored projects to determine if the expenses are allowable, allocable and reasonable. This includes purchase requisitions, travel expense reports and P-Card purchases. Reviews and approves vendor invoices as needed.

  • Assists with federal, state and TAMU System audits and program reviews related to sponsored projects, including single audit requirements under OMB 2 CFR 200 subpart F.

    Sponsored Projects Administration: 20%

  • Provides backup support to Grant Administrator is entering new, and updating project information in MAESTRO and the Financial Accounting Management Information Service (FAMIS) including billing projects, direct and cost share accounts as well as preparing and entering budget entries.

  • At the end of a project, ensures completion of the close-out module in Maestro, including but not limited to:

  • Final verification of expenditures occurring during period of performance.

  • Coordinate with departmental administrators to ensure that all deficits and encumbrances are cleared in a timely manner.

  • Audit expenditures to ensure that final indirect costs were properly recorded.

  • Create and post correcting entries to align final budget with actual expenditures in financial system.

  • Ensure all contractual reporting obligations have been met.

  • Assists in records management of sponsored project files, including University retention period regulations.

  • Provides assistance to other post award staff as needed.

  • Perform other job duties as assigned

    WHAT YOU WILL NEED

  • Bachelors degree in Business Administration, Accounting or related field

  • Two (2) years related experience working with invoicing and expenditure approvals.

  • Equivalent combination of education and experience:

  • Associates degree in Business Administration, Accounting or related field and Four (4) years related experience working with invoicing and expenditure approvals, OR

  • Masters degree in Business Administration, Accounting or related field

  • Intermediate skills in Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook) and Adobe Acrobat.

  • Ability to multi-task, work in a fast-paced, high-volume environment with frequent interruptions with a high degree of accuracy.

  • Ability to work as an effective member of a team.

  • Strong oral and written communication skills.

    WHAT THEY WOULD LIKE TO SEE

  • Masters degree in Accounting.

  • Two (2) years related experience working with invoicing and expenditure approvals

  • Direct experience in research administration, preferably in higher education or government.

  • Experience with federal, state and sponsor regulations and policies related to research administration.

  • Experience with FAMIS/Canopy, MAESTRO, Concur, Workday, Data Warehouse/Business Objects.

  • Professional designation of Certified Research Administrator (CRA) or Certified Financial Research Administrator (CFRA).

    SALARY: $3,750 - $4,166.67 Monthly ($45,000 - $50,000 Annual, Approximately - Dependent upon Education/Experience)
