With a fast-paced, tech-savvy, and lean culture that focuses on goals, metrics, and continuous improvement, FS&P provides non-clinical operational support to Stanford Health Care and other Stanford Medicine entities to ensure safe and successful non-clinical operations 24/7 and plan for the organization’s future facility needs. The Site Support Services business unit manages over 3.5 million square feet of facilities at over 150 ambulatory care and administrative locations across the Bay area. This encompasses multiple Stanford Medicine entities including Stanford Health Care, Stanford Medicine Children’s Health, and Stanford Health Care Tri-Valley. With a budget of over 64-million-dollars, Site Support Services oversees facility engineering, facility maintenance, project/construction management, property/facility management, housekeeping, and collaborates with security and environmental health & safety. Amazing Things Are Happening Here! * The Facility Coordinator (“FC”) reports to the Senior Manager - Facilities Management & Manager - Facilities Management – Site Support Services. The FC will support a portfolio of 800K square feet. The Facility Coordinator is an onsite position located at Stanford Health Care, with frequent travel to Site Support Services locations required. Stanford Health Care is seeking a motivated, collaborative professional to join the team with an extraordinary customer service focus. SHC is looking for the type of person who truly listens and steps outside the assigned role to add value wherever possible. Working with hundreds of vendors and external partners, SHC takes pride in operating at the highest standard of services for partners. The FC will be the first point of contact for internal and external customers seeking support and information from the Facilities organization at Stanford Health Care. Facility Coordinators are responsible for managing the day-to-day operations of a building or group of buildings. This person will commonly work with contractors, vendors, and other professionals to ensure that the facilities are always well-maintained and functional. The Facility Coordinator will be responsible for documenting, coordinating, and communicating facility conditions for Stanford Health Care. The FC will provide administrative support to the Facilities Manager and the Facilities organization, manage office functions including work order coordination, database management, daily office operations, coordination of budgeting/accounting systems, maintaining office records, and provide general support services for the divisional staff.

A Brief Overview

The Facility Coordinator supports the regional team with mostly desk-oriented tasks in support of operations that include but are not limited to service contract and purchase order work; ordering supplies; coordinating vendor and internal meetings and following up on vendor deliverables. The Facility Coordinator will also be responsible for documenting, coordinating and communicating facility conditions for Stanford Health Care.

What you will do

  • Assists Facility Managers with incident response by disseminating the appropriate communication using standard communication protocols.

  • Aids Facility Managers with site inspections and related follow-ups. Coordinates with vendors and internal teams on the contract-purchase order paperwork associated with site inspections.

  • Assists with the annual generation of letters to Landlords regarding compliance with Fire Life Safety regulations; follows up on receipt of information to report to team.

  • Addresses new site activation by creating needed materials i.e. welcome packets. Organize contracting, purchasing paper work and cost tracking for site related projects.

  • Maintains the Standards information for furniture, carpet, fabrics and finishes. Supports management of furniture inventory. Coordinates ICRA/PCRA documentation as needed.

  • Ensures financial management at the purchase order level by collaborating with Facility Managers and Business Managers. Assists with database information updates: customers, suppliers, landlords; collaborates with Lease Administration as needed.

  • Handles event coordination (town halls, CICARE rounds, HR events, Campus Council); prepares agendas.

  • Peform condition assessments of each area/facility according to standard work, including appropriate documentation and follow-up.

  • Review documentation for completeness according to standard work.

  • Document and generate reports from data electronic system.

  • Manage, update and report on status of work order calendar.

  • Works with Director, Facility Manangers on financial analysis, forecasting and need assessments.

Education Qualifications

  • High School Diploma or GED

Experience Qualifications

  • 1+ years of related work experience.

Required Knowledge, Skills and Abilities

  • Knowledge of general practices, program, and/or administrative specialty.

  • Knowledge of and proficiency in the use of Microsoft Office Suite applications and standard office equipment.

  • Knowledge of English grammar, spelling, and punctuation.

  • Familiarity and understanding of project management principles and practices.

  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.

Base Pay Scale: Generally starting at $32.65 - $41.62 per hour

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage.
