Please note that this is a full-time, Monday to Friday position.

The Administrative Assistant role is based out of Vancouver and reports to the Director of Journalism and Programing, Vancouver, British Columbia.

In this role, you will coordinate the steps involved in handling in-house and external service requests, ensure that related procedures and policies are properly followed and perform administrative duties required to run the department.

You will plan, organize, coordinate and control all administrative and operational procedures, activities and documentation for the office of the Director to ensure information and inquiries are directed and processed as quickly and efficiently as possible. You will contact internal stakeholders, outside companies or suppliers, and will review contractual or other agreements to determine the terms and conditions to be met. You will follow up as needed to coordinate the fulfillment of payments or other obligations according to established procedures.

You will work directly with highly confidential and sensitive information related to policy and regulatory matters, organizational restructuring, budgets, financial impacts, labour relations and communication activities.

Work schedule to be discussed with the Hiring Manager according to the guidelines defined by the department. This is an in person, in office position.

Key tasks:

  • Have advanced knowledge of and experience using Microsoft Office — Word, Excel and PowerPoint and/or Google Workspace — to compose correspondence, reports, presentations, charts and graphs as required.

  • Draft emails or memos of a strategic or operational nature in English.

  • Compile data and create tables/documents to track issues, projects and priorities like staff training.

  • Follow up on actions or initiatives on behalf of the leadership and supervisory team.

  • Schedule one-on-one or group meetings and other departmental events, including with our internal and external partners.

  • Index business records in accordance with our archiving requirements.

  • Maintain multiple mailing lists.

  • Track all integration procedures and staff movements.

  • Establish and maintain positive working relationships within CBC/Radio-Canada and with external contacts.

  • Perform other daily office and administrative duties as needed, including taking minutes at meetings.

  • Be responsible for ordering office supplies for the entire department.

We are looking for a candidate with the following:

  • Post-secondary education in office administration or related discipline

  • Two (2) or more years’ experience working as an administrative assistant in a fast-paced, complex environment

  • Strong problem-solving skills

  • Familiarity with multi platform news production is an asset

  • Ability to organize and manage a busy, fast-paced office

  • Strong communication and interpersonal skills, as well as tact and diplomacy

  • Discretion to perform all duties with confidentiality

  • Accuracy and attention to detail are essential

  • Ability to work well under pressure and deal with multiple priorities and deadlines

  • Good analytical skills and ability to exercise sound judgment

  • Initiative and creativity

  • Knowledge of administrative systems and processes

  • In-depth knowledge of and experience with computer software including, but not limited to, MS Office (Word, Excel and PowerPoint) and Google Workspace

  • Knowledge of Livelink, SAP and Workday is an asset

  • Knowledge of CBC/Radio-Canada’s corporate policies (HR, Finance, Business Affairs, etc.) an asset

  • Availability and flexibility to work beyond normal office hours if necessary
