Children’s Clinics is seeking Full-Time, Bilingual (English/Spanish) Office Associate.

    The ideal candidate must have a strong background in a fast paced Medical/Front office reception setting, checking in/out patients. Able to schedule patients for multiple clinicians across 5 disciplines. Performs clerical work such as taking patient payments, ensuring patient insurance is verified, eligibility is up to date, entering patient demographics, submit request for prior authorization for treatments/consults; and pharmacy information in the electronic health record (EHS) system. Professional phone etiquette skills handling a high call volume, customer service and conflict management skills; in person and telephonically strongly preferred.

    Bilingual (English/Spanish) required. High school diploma or general education degree and six months to one year related medical office experience and/or training required. Strong computer skills and proficient using Microsoft Office Products such as Word, Excel, and Outlook.

SUMMARY

This position is responsible for fostering and maintaining excellent customer service. Check in patients and update patient records and insurance information. Answer telephone calls and route accurately and in a professional manner. Ensure insurance verification is completed and updated.

ESSENTIAL FUNCTIONS

Performs clerical and data entry duties with varying degrees of complexity respective to the needs of the department including basic letters and forms. Prioritizes daily tasks and researches pertinent data and information needed in daily work assignments.

Greets internal and external customers in a professional manner. Screens telephone calls, takes messages and communicates urgent matters with clinical staff.

Communicates and addresses delays with patients. Assists with handling difficult patient concerns and issues.

Updates all required patient information in the electronic health record to include patient demographics, insurance and pharmacy information.

Knowledge in insurance information and ability to obtain verification and prior authorization as needed.

Process internal and external referrals in a timely manner.

Ensures timely patient check-in. Handles cash, patient payments, co-pays and daily cash out.

Performs other duties as required and assigned

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of scheduling experience (i.e., understand scheduling parameters, required time intervals and patient needs).

Knowledge of health insurance and insurance verification process

Skill in customer service and conflict management

Ability to handle busy telephones including the ability to take messages and provide accurate information.

Ability to enter or retrieve data from electronic health record.

Ability to communicate effectively, in person, telephonically and in writing with patients, families and all levels of clinic staff.

Ability to multitask and prioritize in a busy office environment with multiple interruptions and prioritize multiple assignments and tasks. Must be detail oriented.

Ability to perform basic computer competency skills in various software applications. Proficiency in a Practice Management System.

Ability to maintain confidentiality of patient data consistent with HIPAA requirements.

MINIMUM QUALIFICATIONS

Education:

High School Diploma or General Education Degree (GED) required

Experience :

Six months to one year related medical office experience and/or training required

Bilingual English/Spanish is preferred

FINGERPRINT CLEARANCE

Employees are required to maintain a current Department of Public Safety Level 1 Fingerprint Clearance Card. Proof of a current fingerprint clearance card must be received within 90 days of employment.
