Purpose of Role

Events Coordinator performs and coordinates clerical duties for the department and ensures customer follow-up (e.g. proposal, contract, emails) is completed in a timely fashion; and answers all incoming telephone calls, assist with customer inquiries and process to manager.

Events Coordinator also supports managers’ workload, organise site inspection in managers’ absence, coordinates all client appointment schedules for managers, and takes meeting minutes when required.Other duties might include providing training on security tips and job responsibilities.

Responsibly Description

  • To coordinate all clerical duties for Events Sales Department to ensure proper follow-up on proposal, contract, emails; and ensure all correspondence is completed in a timely fashion.

  • To prepare correspondence to customer, internal booking reports and file maintenances.

  • To answer all incoming telephone calls, assist with customer enquiries and process to manager.

  • To interact with event guests in the function area, handle guest complaints, conduct site inspections (including guest rooms), handle bookings, promote hotel services and sales (if required) in the absence of manager.

To assist with Talent management, supervision; and schedule roster and appointments if / when required.

To process weekly, monthly and quarterly reports as directed.

To take minutes at meeting and distribute accordingly.

To take care of general office supplies and cleanliness of the office.
