ALMOND & ASSOCIATES Senior Compliance Specialist Construction in Tacoma, Washington

The Right Candidate:

 

This is a full-time position that works closely with and reports directly to the Contracts & Compliance Manager. This position is primarily a support position that performs several contract-compliance administrative tasks, across several projects. The right candidate must grasp and apply new information quickly and be able to handle complex assignments. This position provides a high level of prompt customer service to its internal and external clients. The ideal candidate is a team player, willing to participate as a collaborator or a leader. This position heavily utilizes MS Word and Excel; experience of which is a requirement. The right candidate must possess highly proficient judgment in selecting methods and techniques for obtaining solutions and presenting them to the department manager for concurrence. Additionally, the candidate must demonstrate initiative on assignments, exercises independent judgment, and professionally execute complex projects as assigned.

 

Responsibilities include, but are not necessarily limited to:

  1. Monitor subcontractor performance of compliance requirements

a. Maintain a subcontractor document tracking spreadsheet for each job to determine eligibility for payment -- weekly maintenance

i. Safety Plans -- facilitate review/approval

ii. Insurance -- ensure receipt

iii. Return of subcontracts

iv. Other paperwork, as required

b. Work with team, to ensure our requests for documents are streamlined and efficient

c. Monitor subcontractor 2nd tier certified payroll for compliance - weekly

d. Monitor subcontractor certified payroll for compliance - weekly

e. Assist subcontractors with completing the various subcontracts and compliance requirements.

  1. Review, request, and tracking of documentation and files, including following-up on specific documents (subcontracts, statement of intent, insurance, etc.) required to allow a subcontractor to commence work onsite as scheduled.

  2. Submit documentation to our client as required to ensure company's compliance, and to ensure subcontractors are approved for work onsite as scheduled.

a. Project monthly reporting

b. Maintain apprentice reports as necessary -- monthly

i. Report to project teams on apprenticeship utilization and on-the-job training progress as it compares to the goals

ii. Support good faith efforts assembly when required

c. Maintain Diversity Compliance Reporting -- monthly

i. Report to project teams on project specific goals

  1. Setup compliance check lists at the beginning of each project, based on determined requirements.

  2. Weekly compliance checks, to any include corresponding subcontractor compliance deficiency notices

  3. Retainage release compliance reviews

  4. Lead project closeout efforts

a. Work with subcontractors to correct intent & affidavit issues

b. Work with department of L&I to help correct intent & affidavit issues

c. Assist with archiving projects as requested

d. Request and ensure prompt receipt of final paperwork

e. Complete Public Works Reconciliation of Taxes

  1. Special projects as requested

  2. Cross train as a secondary for company entry of certified payroll into the Washington state L&I website

  3. Cross train as a secondary to enter certified payroll into owner required payroll system (i.e., LCPtracker) if applicable - weekly

a. Support good faith efforts assembly when required

  1. Assist with filing projects as requested

  2. Review subcontractor certificates of insurance for compliance and coordinate revisions

  3. Cross train on verification of subcontractor responsibility

  4. Support with audit issues as requested.
