As a vital member of our team, this position plays a role in maintaining and optimising operational procedures for a team of 12 sales and service professionals. Collaborating closely with colleagues across sales and service you will uphold the seamless functioning of daily operations. Serving as the primary point of contact for customers via phone and email. You will oversee logistics, coordinate services, process orders and manage invoicing. Your dedication ensures efficient processes and exceptional customer experiences.

Job Description

Roles and Responsibilities

  • Maintain the CRM database for service jobs.

  • Customer Service, order entry and invoicing of consumables.

  • Triage common email inboxes orders and info and distribute, file and follow up as necessary.

  • Monitor all incoming repairs for service contract commitment and monitor KPIs

  • Manage Loan and Demo fleet.

  • Maintain field service schedule, log jobs, obtain purchase orders and follow up.

  • Communicate with customers and sales team to facilitate movement of equipment in and out of the service department and hospitals.

  • Providing input and feedback to improve processes where possible.

  • Prepare and maintain loan equipment loan documents.

  • Collaborate effectively with the sales team by creating and issuing sales tracking documentation upon request.

  • Book in and monitor logistics jobs – this includes wrapping and packing

  • Assist in the planning, logistics, record keeping and management of conferences

  • Other, non-specific duties typical of an office ‘all-rounder’.

  • Maintain a cheerful attitude while answering all inbound calls and addressing customer or sales team needs.

  • Answer all customer email inquiries promptly to resolve any complaint or issue while maintaining customer satisfaction.

  • Tasks consistent with general office management

Required Qualifications

  • A minimum of 5 years experience in a similar role.

  • Excellent spoken and written English.

  • Demonstrable proficiency in Microsoft Office suite of programs.

  • A mature and flexible approach to time and work demands.

  • A diplomatic approach to communications both verbal and written.

  • Ability to multitask and shift focus as required.

  • Demonstrable computer literacy and ability to learn new ERP systems quickly

  • Accuracy and attention to detail.
