The School of Medicine has an outstanding opportunity for a Communications Project Manager to join their team.

The Communications Project Manager (payroll title: Public Information Specialist) is responsible for managing communications projects for the UW Medicine Strategic Communications team. Projects may include a variety of communication deliverables ranging from internal communications across departments and teams within the UW Medicine organization to external outreach directed at patients, community partners or the general public.

The successful candidate will have experience in multiple aspects of communications and be able to provide guidance to operational leaders and project team members on communications channels and tactics for various audiences. They will possess strong organizational, project management and relationship building skills to drive projects to completion in collaboration with many cross-functional teams across UW Medicine. They must be able to prioritize and juggle multiple projects and deliverables, adhere to deadlines, and drive outcome-focused, collaborative results.

This position interacts with leadership, faculty and staff across multiple UW Medicine entities including Harborview Medical Center, UW Medical Center, Valley Medical Center, Fred Hutchinson Cancer Center, UW Neighborhood Clinics, UW Physicians, Airlift Northwest, and the UW School of Medicine. The position reports to the Senior Communications Manager. The role collaborates closely with members of the internal communications, media relations, social media, digital, content and marketing teams.

DUTIES AND RESPONSIBILITIES Project Management & Planning: • Flexibly deployed across various projects. • Executes major communications projects in a timely and effective manner. • Develops and executes strategies and leads communications planning efforts for assigned projects/programs. • Integrates and leads work among various communication professionals to ensure strategies and plans are implemented effectively. • Ensures project alignment with overall communications strategy. • Facilitates support of diversity, equity and inclusive communication practices. • Oversees and provides guidance to project resources for assigned projects. • Drives project communications deliverables to completion.

Internal Communications: • Drives project communications deliverables to completion. Advises operational leaders or partners on communication best practices, channels, tactics, etc. • Develops content as needed for internal communications vehicles, including articles for employee platforms, intranet posts, copy for email announcements, talking points, FAQs, and other collateral. • Becomes proficient in using an email automation platform to send messages to the workforce Integrates and leads work among various communication professionals to ensure strategies and plans are implemented effectively.

Communications Team Support: • Support the communications team by organizing work efforts for internal communications, media relations, and social media teams (including developing work schedules, tracking analytics, submitting requests etc.). • Maintains Teams and SharePoint organizational structure and documentation, including templates, standard operating procedures, etc. • Runs weekly internal communications team meetings, gathers agenda items, follows up on projects and deliverables, maintains email editorial calendar. • Further develops communications project management capability. • Helps onboard new communications team members. • Identifies areas where process improvements are needed to increase communications team collaboration.

MINIMUM QUALIFICATIONS • Bachelor’s degree in communications or related field, or equivalent experience. • Five years of successful communications and project management experience.

Additional requirements: • An authentically and consistently good listener. • Exceptional skills in relationship building and collaboration. • Proven ability to work in a fast-paced, high-change environment with demonstrated ability to manage multiple projects and priorities. • Strong writer and oral communicator, able to write and edit messaging quickly and accurately. • Exceptional organizational skills. • Knowledge and understanding of communication best practices. • Working knowledge of internal and external communication platforms. • Demonstrated ability to drive strong results with limited resources. • High level of computer literacy skills including experience with MS Office Suite. • Demonstrated integrity. • Understanding of and commitment to diversity, equity and inclusive communication practices.

Equivalent education and/or experience may substitute for minimum requirements. DESIRED QUALIFICATIONS • Prior experience working in a large, complex organization. • Prior work in an academic or health system setting. • Proficient in posting to web platforms. • Familiarity with the AP style, SharePoint and/or Marketo.
