POSITION PURPOSE The Associate Director for Student Activities leads the Student Activities Office (SAO) staff and students on all initiatives related to Registered Student Organizations (RSOs) at UW, advising and support for student government, and execution of departmental events and initiatives. The position provides support and guidance to the Associated Students of the University of Washington (ASUW) and Graduate & Professional Student Senate (GPSS), is responsible for the financial, administrative, and operational oversight of the SAO unit, and is a member of the HUB Executive Director’s Team.

DUTIES & RESPONSIBILITIES: Administration – 55%

  • Oversee all operations, programs, and services within the Student Activities Office.

  • Oversee and support strategic initiatives, programs, and services to meet the needs of students and organizations served by the unit.

  • Develop and provide oversight of unit budget(s) and authorize and control expenditures within the unit.

  • Oversee the unit’s Use of University Facilities sponsorships.

  • Maintain records in accordance with UW Policies and Procedures. Collect data and prepare reports.

  • Develop, implement, assess, and revise unit and department guidelines, policies, and procedures, including but not limited to the RSO Policy Guide.

  • With the HUB Executive Director and University Attorney General’s Office, interpret State law and regulations and University policy and procedures pertaining to the conduct of student government and organizations, their activities, and use of University facilities. Advise the HUB Executive Director and Associate Vice President for Student Life on risk management for certain student activities and events.

  • Advise the HUB Executive Director on emerging and ongoing issues among student organizations and student government.

  • Monitor compliance and interpret University and state policies, procedures, and regulations, and other legal requirements as they relate to the student government and student organizations and ensure compliance in all RSO and student government matters.

  • Serve as a primary liaison between ASUW/GPSS entities and officers advised by this position and campus staff, campus departments, other student groups/entities, vendors, and outside groups; Advocate for RSOs and student government across campus.

  • With appropriate partners, develop, oversee, execute, and monitor the disciplinary conduct process for Registered Student Organizations.

  • Cultivate and sustain collaborative partnerships with University departments (e.g., Student Veteran Life, Health & Wellness, Sustainability, Facilities, First Year Programs, Kelly Ethnic Cultural Center, Recreational Sports Programs, University Police, and Fraternity & Sorority Life).

  • Serve as a member of HUB Executive Director’s Team, helping to lead the development of a long-range, strategic vision for the union facilities.

  • Serve in various HUB, University, and student committees.

  • Related duties as assigned. Advising – 30%

  • With the HUB Executive Director and SAO staff, advise the Associated Students of the University of Washington (ASUW) and Graduate and Professional Student Senate (GPSS).

  • Oversee and support the onboarding and orientation of ASUW and GPSS Officers and staff including but not limited to training on budget management, risk management, event planning, interpretation of policy, and educational development.

  • Oversee and support the student organization registration process.

  • Monitor and advise student government and organizations on day-to-day operations, which could include personnel issues, risk management, financial transactions, contracts, programs, and campus services.

  • Advise and assist students with planning, budgeting, promotions, execution, management, and assessment of events/initiatives such as lectures, concerts, cultural programs, event fairs, dances, and workshops. Supervision of the SAO Unit – 15%

  • Provide strong leadership for and supervision of the HUB Student Activities Office team. Responsible for the selection and supervision of 4 full-time direct reports, 4 indirect reports, 5-7 student staff, and 1 graduate intern.

  • Regularly advise, counsel, and support unit and department staff on emergent concerns related to student government and organizations.

  • Regularly assess unit staff, programs, and services to improve unit operations and student and staff experience.

  • With the Assistant Directors, set advising assignments and portfolios for each advisor. IMPACT TO THE UNIVERSITY The Associate Director is a highly visible member of the HUB Executive Director's Team and leader of the Student Activities Office, often collaborating with other departments on- and off-campus and in frequent contact with students.

  • Responsible for advising key officials in student government and guiding students through their leadership experience.

  • Support and enhance the Husky Experience of students participating in student government and student organizations.

  • Development and management of the unit’s budget(s).

  • Strategic planning and execution of new initiatives, including collaboration with other departments and off-campus partners. POSITION COMPLEXITIES Candidates will possess an in-depth knowledge of student development, student activities best practices, University policies, procedures and protocols, and state/federal/local laws as they apply to student organizations and student government. Candidates will be a strategic leader and contributing member of a team, manage projects and people with the highest level of integrity, display an extreme attention to detail, and have a proven track record of developing and executing a strategic vision in a student-centered environment. SUPERVISION This position reports to and works under the general supervision of the HUB Executive Director.This position directly supervises 2 Assistant Directors and 2 Program Support Specialists and indirectly supervises 2 Senior Advisors, 2 Advisors, 5-7 student assistants, and 1 Graduate Intern. WORKING CONDITIONS This is an overtime exempt position. Position works independently with minimal oversight from the Executive Director to lead their unit. Regular evening and occasional weekend hours to attend student government meetings and events are required. Schedule is flexible and allows some hybrid/work from home options, with the on-site job hours being performed in a private office setting and occasional indoor and outdoor on-site event management. MINIMUM QUALIFICATIONS

  • Bachelor’s degree in Student Affairs, Counseling or a related field.

  • 5 years related experience as a professional in the fields of Higher Education, College Unions/Student Activities, Non-profit Management, or related field.Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Professional experience advising student organizations and student leaders in a higher-education setting.

  • Professional experience with event planning and management.

  • Demonstrated ability in leading people and projects.

  • 2 years’ experience supervising full-time staff.

  • Possess interpersonal, problem solving, and customer service skills to work effectively with a diverse group of students, faculty, staff, and colleagues.

  • Ability to write and interpret reports, analyses, and evaluations.

  • Demonstrated ability to prepare and manage annual operations budgets.

  • Proficiency in Microsoft Office applications. DESIRED QUALIFICATIONS

  • Master’s Degree in Student Affairs, Counseling, or related field.

  • 5 years' experience as a professional in the field of Student Activities in higher education.

  • Working knowledge of Washington State law, regulations, and University of Washington policy pertaining to student government, student organizations, and student affairs.
