Robert Half HR & Payroll Coordinator in Santa Fe Springs, California

Description

We are seeking an experienced HR & Payroll Coordinator to support the payroll, benefits administration, recruitment, and employee relations functions. This role is responsible for ensuring accurate payroll processing, tracking benefits, maintaining employee records, and assisting with recruitment efforts. The ideal candidate is highly organized, detail-oriented, and able to manage a variety of administrative and HR tasks for a workforce of 75–95 employees.

Key Responsibilities

Payroll & Reporting

  • Correct and adjust timecards for 75-95 employees as needed.

  • Update and maintain reports for weekly and semi-monthly payroll, 401K contributions, year-end reporting, and audits.

  • Track and update PTO policies, including vacation, sick leave, and bereavement.

  • Calculate and process wages for both prevailing wage and non-prevailing wage jobs monthly using various Excel workbooks.

  • Share commission reports with the sales team after accounts payable completion and resolve any discrepancies.

Recruiting

  • Create and update job descriptions and post them to job boards, including LinkedIn, Indeed, and the company website.

  • Review and screen applicants; generate scripts for screening calls, document outcomes, and schedule interviews.

  • Participate in on-site interviews, provide feedback to hiring managers, and assist with hiring decisions for the installation team.

  • Generate offer letters, manage onboarding documents, run background checks, and ensure all new hire equipment is ready by coordinating with IT.

  • Process onboarding documents (I9, E-Verify, W4) and provide CA-required notices and the company handbook to new hires.

  • Facilitate communication with union representatives and apprenticeship training programs when necessary.

Employee Relations

  • Administer documents related to workplace injuries, workers’ compensation, and root cause investigations.

  • Investigate employee relations issues (e.g., performance management, harassment) and provide findings to managers with recommendations.

  • Manage COVID exposures, suspected cases, and necessary follow-ups according to local and CDC guidelines.

  • Coordinate and conduct job evaluations twice a year, ensuring specialized job evaluations for each role.

  • Maintain an updated roster of vaccinated employees.

  • Plan and coordinate 8-10 company events annually as part of the event planning committee.

  • Respond to employee reviews on platforms like Glassdoor and encourage employees to share feedback.

  • Arrange space-saver certification for the installation team, including booking classes and travel.

  • Manage offboarding paperwork and conduct exit surveys for departing employees.

Benefits Administration

  • Lead the open enrollment process using ADP TotalSource and answer any benefit-related questions throughout the year.

  • Manage open enrollment for Aflac plans and assist with FSA and supplemental health plan questions.

    Requirements

  • 3+ years of experience in HR and payroll administration.

  • Proficiency in ADP or similar payroll systems.

  • Strong knowledge of California labor laws and payroll regulations.

  • Excellent communication, organizational, and multitasking skills.

  • Experience with Excel and data management.
