Koniag Government Services is seeking an Executive Assistant to support our sector of companies in San Francisco, CA.

This position will involve working to provide a regional Head Start office with professional, administrative, and technical support of high-quality grants management services.

Essential Functions, Responsibilities & Duties may include, but are not limited to:

  • Education: Associate degree required, bachelor’s degree preferred.

  • Experience: At least two years of relevant professional experience directly related to the task activities.

  • Data Management: Demonstrated proficiency in utilizing a variety of data management tools. Demonstrated ability to aggregate, analyze and present data gathered from multiple sources.

  • Reports: Ability to develop reports, correspondence, and presentations to include Excel spreadsheets, MS Word documents, and Power Point presentations

  • Communication: Demonstrated ability to communicate clearly, both orally and in writing, and produce high quality written products such as memoranda, presentations, and correspondence.

  • Scheduling: Experience scheduling appointments, preparing travel arrangements, arranging meetings, maintaining staff calendars, and coordinating assignments. Experience providing similar support for a federal client.

  • Event Planning: Experience with event planning, managing conference space and resources, including presentation logistics and equipment.

  • Ability to travel to support regional events, meetings, and conferences.

Good to Have – But Not Required:

  • Client familiarity: Experience with Health & Human Services (HHS), particularly the Administration of Children and Families (ACF) and the Office of Head Start (OHS)

  • Grants Know-How: Experience and knowledge in the administration of federal discretionary grants, particularly grants funded under the Administration for Children and Families, ensuring grantee compliance, strong track record with customer / client satisfaction; experience with federal grant systems (GrantSolutions, ARM, etc.)

  • Demonstrated knowledge of and experience in the management and administration of high-quality Head Start and Early Head Start services.

  • Demonstrated skills and experience in program analysis and evaluation, quality assurance and risk management, particularly as they relate to Head Start and other early childhood care and education programs.

  • Familiarity with OHS Region 9 and specific issues.

Working Environment & Conditions

This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. The incumbent is required to stand, walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The workload may require the incumbent to sit for extended periods of time. The incumbent must be able to read, do simple math calculations and withstand moderate amounts of stress.

The incumbent must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
