    Vighter LLCis recruiting a Executive Assistant to the National Program Director that will facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks. The Executive Assistant is also responsible for ensuring successful completion of administrative and program management tasks as requested by the National Program Director.

    MISSION:CBPs Office of the Chief Medical Office (OCMO) employs a family medicine model to provide frontline medical care for persons in CBP custody. This model provides a team of medical professionals comprised of physicians, advanced practice providers (e.g., physicians assistants, nurse practitioners), clinical support staff (e.g., Licensed Practical/Vocational Nurses, Paramedics, EMTs, Certified Medical/Nursing Assistants), and other support staff (Patient Safety Risk Managers and Electronic Health Records Specialists). These contracted medical teams provide basic assessment and medical treatment for persons in CBP custody to include emergency care as needed. OCMO is committed to ensuring a system of care that is ethical, responsible, and accountable through surveillance and monitoring activities that are in place.

    Basic Requirements:

  • Associate's Degree required; Bachelors' degree in related field preferred.

  • Three to five years of experience in an administrative role.

  • Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail.

  • Strong time-management skills and ability to organize and coordinate concurrent projects.

  • Very strong interpersonal skills and the ability to build relationships.

  • Experience managing multiple calendars.

  • Experience booking travel.

  • Proficient in Microsoft Office (Outlook, Word, Excel and Power Point), Apple Mac programs, Adobe Acrobat and social media web platforms.

    Duties and Responsibilities:

  • Maintains NPDs appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel.

  • Maintains confidentiality of highly sensitive information. Manages complex office administrative work requiring the use of independent judgement and initiative.

  • Prepares reports by collecting and analyzing information. Maintains filing systems as assigned.

  • Retrieves information as requested from records, email, minutes and other related documents; prepares written summaries of data when needed.

  • Responds to and resolves administrative questions. Coordinates and schedules travel, meetings and appointments for NPD, or others on the PMO team as requested.

  • Prepares travel itineraries as requested.

  • Prepares agendas and schedules for meetings.

  • Records and distributes minutes or other records for meetings.

  • Maintains a system for preparing expense reports and maintaining all needed documentation (i.e., receipts, approvals, etc.).

  • Performs other related duties as assigned.

    Supervisory Controls:

  • Works under the administrative direction of the National Program Director.

    Physical Demands:

  • Able to walk, stand, bend, or sit for extended periods.

  • Able to reach to retrieve documents or supplies.

  • Able to carry materials and/or file boxes up to 15 pounds at times.
