University of Rochester Deputy Director and COO, MAG in Rochester, New York

GENERAL PURPOSE:

Reporting to and working in partnership with the Director and CEO, the Deputy Director and COO will lead all operations and will have the following overall responsibilities:

  • Serve as the leader of the organization’s day-to-day operations

  • Provide for all staff a strong day-to-day leadership presence

  • Identify best practices and improve internal systems with an eye toward future needs and budget realities

  • Mentoring, coaching; visible, approachable sounding board/resource and serve on several board sub-committees

  • Facilitate MAG’s continued growth and fulfillment of its mission

  • In the Director/CEO’s absence or unavailability the COO/Deputy Director would provide guidance and support to all Museum Departments as well as the MAG Council and MAG Board of Managers. The Director travels approximately 25% of the time.

JOB DUTIES AND RESPONSIBILITIES:

Strategic Plan Champion

  • Works with Director and BOM to oversee creation of strategic plan.

  • Guide work of strategic planning consultant.

  • Coordinate efforts of various BOM strategic planning groups.

  • Direct creation of supporting strategies such as Facilities Master Plan, Technology Plan, and Space Study.

  • Implement new processes, systems and approaches to achieve plan initiatives.

  • Produce and implement metric for measuring success throughout the organization

  • Report progress to Director, BOM and MAG staff.

  • Plan for creation of following Strategic Plans so that there is always an active plan in place.

DEAI Champion

  • Implement DEAI measurements, training for staff and volunteers.

  • Work with Director to lead efforts to build a MAG culture of anti-racism.

  • Connect with community and develop resources that build relationships and support MAG’s DEAI efforts.

Board Committees

  • Liaison for the Finance Committee of the BOM. Coordinate meetings, activities and reporting to the general Board.

  • Liaison for the Technology Committee of the BOM.

  • Coordinate meetings, activities and reporting to the general Board.

  • Give input on meeting agendas for BOM and Executive Committee.

  • Assist with preparation of BOM and Executive Committee presentations.

Financial

  • Oversee budgeting and business planning activities for all areas of MAG for annual budget that ranges $7.5M - $8.5M.

  • In coordination with Finance and Administration staff of the Museum and the University, develop annual operating, capital, program, and project budgets. Set financial strategy for the Museum.

  • Lead organizational budgeting process.

  • Set annual goals for revenue, expenses and overall budget performance.

  • Present annual budget to the Finance Committee for approval.

  • Monitor the implementation of the budget and oversee financial analysis and forecasting throughout the fiscal year.

  • Support and advise the CEO in decision making.

  • Oversee reporting and monitoring of organizational performance metrics.

  • Review and analyze financial reports.

  • Ensure relevant financial data is presented to CEO, senior management and Board.

Human Resources

  • Direct and oversee staffing in coordination with operational objectives.

  • Instill a human capital development and “coaching” culture within MAG; upgrade human resources functions and improve employee relations and communications, performance evaluation, and recruiting for a staff of approximately 50 full time and 90 part time/TARs.

  • Oversee recruitment, hiring, and compensation.

  • Upgrade and manage professional training and development programs.

  • Retention strategies.

  • Establishment of annual budgets for compensation.

  • Monitor and evaluate staff utilization efficiency.

  • Develop policies and programs that foster good internal communications.

Guest Services

  • Direct and oversee Guest Services in the Museum.

  • Assure that Guest Services Staff and volunteers deliver a superior experience to guests of the museum while protecting our art and property.

  • Offer ongoing training and development to front lines staff.

  • Explore opportunities to attract tourism to the Gallery through group tours, hotels packages, and reach out through various community groups.

  • Advise on museum décor, layout, wayfinding, and upkeep to maximize visitor experience.

Facilities

  • Direct and oversee MAG Facilities & Security.

  • Consult with and advise Director of Facilities in day-to-day maintenance and repair of MAG physical space indoors and out.

  • Assure that MAG is prepared for emergency situations with clear policies and procedures that protect the art, staff and guests.

  • Coordinate with the University of Rochester and be sure that MAG is represented at University emergency work groups.

  • Advise on capital projects and new purchases.

  • Assure that Security Ambassadors deliver a superior experience to guests of the museum while protecting MAG’s art and property.

  • Offer ongoing training and development to Security Ambassadors.

Technology

  • Direct and oversee department that serves all aspects of Technology at MAG.

  • Support desktops/laptops for all MAG employees.

  • Support all internal technology systems such as POS, Embark, EMS, CRM and CW online.

  • Support MAG facility technological needs such as security systems, cameras and general mechanicals.

  • Assist curators with media arts equipment and presentations.

  • Purchase equipment for the exhibition and work with the artist to maximize the presentation of the work.

  • Design and deliver all technology training for MAG staff.

Earned Income

  • Direct and oversee departments that supply approximately $500K - $600K earned revenue for the museum.

  • Establish best practices for each area and ensure all opportunities are developed for current or new endeavors. (Events rental/Clothesline, Admissions, Gallery Store, Restaurant, and Creative Workshop).

Miscellaneous

  • Legal Agreements—In coordination with UR Legal oversees MAG contracts and MOUs.

  • UR Committees—Serve on various committees such as Communications

  • Strategy Committee, University Management Team, and Presidential Search Committee for Staff.

QUALIFICATIONS:

Undergraduate degree required; MBA or similar advanced degree highly desired.

General Management —broad experience with the full range of business functions and systems, including strategic development and planning, budgeting, business analysis, and marketing.

Educational background —undergraduate degree required; MBA or similar advanced degree highly desired.

Customer service experience, financial/budgeting strategy, and knowledge of retail business operations.

Pay Range

Pay Range: $120,640 - $180,939 Annually

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
