University of Rochester Administrative Assistant IV in Rochester, New York

Responsibilities

Position Summary:

The Administrative Assistant (AA) serves as principal assistant to the Director for Center for Advanced Practice. As often the first contact within the office, the AA must be a great ambassador and representative for the office and organization. This person has frequent interactions with APP staff, faculty members, Nursing Directors, and other administrative personal. The AA is responsible for providing office supervision and coordinating support service and managing related administrative services of the Center.

Typical Duties:

  1. Manage Directors calendar (meeting requests, appointments, interviews)

  2. Update Interview Grid (includes weekly “clean up”)

  3. Create new applicant files, schedule appointments, save resumes

  4. Coordinate interviews, itineraries (approx. 200 yr), send no thank you letters

  5. Receptionist responsibilities: phones, greet guests, assist walk ins, misc. requests

  6. Weekly file review with Director (follow up with departments for updates)

  7. Credentialing – (new/transfer) schedule eRecord

  8. Onboard New employees (logins, mandatories)

  9. NP/PA Orientation (conference rooms, Review Operations)

  10. Reappointments, (approx. 450/yr.) no thank you letters

  11. Add privileges requests

  12. eValue: add/delete/update

  13. Manage Office Budget

  14. Grand Rounds: flyers, conference rooms, survey monkey, Sovie SharePoint

  15. Support Education Committee – meetings, minutes, surveys (quarterly)

  16. Support APP Faculty & Staff Diversity, Equity, and Inclusion Officer (1 person)

  17. Support APP Education Officer for the SOVIE Center of Advanced Practice (1 person)

  18. Reimbursements (signatures, copy/scan, mail),

  19. Evaluations (appointments, portfolios, surveys)

  20. Annual Health Updates (conference rooms, Sign-up Genius)

  21. Order catering for meetings

  22. Annual NP/PA Celebration (catering, flyer, rsvp, baskets, banner)

  23. Order office supplies, NP/PA tags, parking & food vouchers, ICARE badges

  24. Mini Course (planning, conf. rooms, catering) 1-2 year

  25. Create flyers for upcoming events

  26. Update APP manager birthday list and send cards

  27. Conference room scheduling (as needed)

  28. Support email requests from NP/PAs for forms, copies of file documents

  29. Back up to the Administrator

  30. Facilities requests

  31. Maintain/Organize Supply Room

Qualifications:

College graduation or an equivalent combination of experience and training. One year of relevant administrative experience.

Pay Range

Pay Range: $20.92 - $29.29 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
