Your key responsibilities

  • Support 2-3 Account Managers with all customer facing requests such as samples, pricing, documentation requests and coordination of meetings (virtual and on-site), which includes management of catering orders and other logistical on-site coordination.

  • Manage significant amount of regulatory coordination of documents: Enters quality, regulatory and sustainability related customer requests into internal system in a timely fashion. Returns completed documentation to customer once available. Follow up with internal teams to ensure deadlines are being met. Follow up with internal teams around incomplete documentation.

  • Requests price quotations from pricing office via internal system; prepares price letters and effectively maintains all price related files for customers from a pre-sales perspective. Work with pricing office on annual pricing review including creation and communication of price increase letters.

  • Supports the department to process and maintain legal documents via Firmenich’s end-to-end Contract Lifecycle Management solution (Contract Us).

  • Manage the global rebates for the Taste Division in North America which involves partnering with the coordinators and finance on the calculations + consistent on-time submission on a monthly basis

  • May act as a super user for the department for at least one of our systems.

  • Contribute on special projects as needed and based on business needs/requirements

    You bring

  • High School Diploma Required, bachelor’s degree preferred.

  • Highly resourceful professional with the ability to work independently, as well as work cohesively with a large remote based team.

  • At least 1-3 years of related administrative/sales support/customer care experience required, preferably in the food or flavor industry.

  • Intermediate or Expert level excel user with the aptitude to gain insights and drive decision making using data.

  • The ability to solve problems through a critical thinking, data driven lens
