As the Operations Manager at Fort Pitt, you will play a pivotal role in ensuring the smooth functioning of our investment accounting operations while driving efficiency and excellence across the team. Your primary responsibilities will include overseeing investment accounting processes, resolving complex issues, driving process improvements, managing the client billing process, and fostering a culture of excellence within the team.

What You’ll Do

  • Oversee Investment Accounting : Lead the Portfolio Accounting team to ensure accurate and timely recording of investment transactions, maintenance of investment records, and management of investment performance calculations

  • Resolve Complex Issues : Act as the point of escalation for complex operational and billing issues, collaborating closely with team members from other departments and financial advisor teams to resolve issues efficiently and effectively

  • Drive Process Improvement : Identify opportunities for process improvement within the Portfolio Accounting department, championing the implementation of enhancements to streamline workflows and optimize operational efficiency

  • Manage Client Billing Process : Supervise fee calculations, invoicing, billing inquiries, and resolution of discrepancies, ensuring compliance with deadlines and accuracy of billing processes

  • Ensure Data Integrity : Maintain the integrity and accuracy of client and investment data within the firm's systems, implementing data validation and quality control measures to minimize errors

  • Portfolio Accounting Team Management : Lead and guide Portfolio Accountants and Operations Analysts, overseeing day-to-day personnel issues, performance management, and professional development initiatives

  • Portfolio Accounting Team Training : Facilitate onboarding for new hires, develop training programs, and provide ongoing coaching and mentoring to enhance the capabilities and performance of team members

  • Investment Accounting : Proficient in investment accounting principles, ensuring accurate and timely recording of transactions and portfolio management

  • Operational Processes : Familiar with operational procedures in a registered investment advisor firm, covering client onboarding, reporting, and account maintenance

  • Problem-Solving : Demonstrates logical and systematic problem-solving, employing critical thinking to assess situations from multiple perspectives and innovate solutions beyond conventional methods

  • Communication Skills :

  • Verbal : Clearly expresses ideas in conversations and interactions

  • Written : Articulates thoughts effectively in business writing

  • Analytical Thinking : Capable of dissecting complex issues, analyzing root causes, and recognizing patterns in data to understand direct and indirect impacts

  • Decision-Making Skills : Makes informed decisions promptly, weighing the pros and cons of solutions and considering short- and long-term consequences to choose the best course of action decisively

  • Emotional Intelligence : Manages own emotions and empathizes with others to resolve conflicts diplomatically, maintaining composure under pressure and fostering positive relationships

    Experience Requirements

  • High School Diploma or an equivalent qualification is required

  • While a bachelor’s degree in finance, business, or technology is preferred, we welcome candidates who possess a combination of relevant experience and education

  • A minimum of five (5) years of relevant work experience with investment accounting is required for this position

  • A minimum of two (2) years of management experience is required for this position

    Other Requirements

  • Advanced Microsoft Excel skills

  • Proficiency in Microsoft Office Suite (Word, PowerPoint, and Outlook)

  • Proficiency in using investment accounting/reporting software

  • Exposure to Orion is preferred

  • Proficiency in CRM systems

  • Exposure to Microsoft Dynamics 365 is preferred

  • Proficiency in trading platforms

  • Exposure to RedBlack is preferred

  • Schwab Advisor Services or Fidelity Wealthscape experience is good to have, but not required

    About The Job

  • 100% in-office work environment

  • Green Tree, PA location (Foster Plaza)

  • Reports to the Chief Operating Officer & Managing Partner

  • This position has supervisory responsibilities

  • Portfolio Accounting team (Portfolio Accountants and Operations Analysts)

  • Regular Full-Time (40 hours per week)

  • Exempt/No Overtime

  • Work Schedule is Monday – Friday, 8:00 AM – 4:30 PM

  • Flexible start/end time may occur as workload demands dictate (i.e. 7:30 AM – 4:00 PM or 8:30 AM – 5:00 PM)

  • Occasional evening and weekend work may be required as job duties demand

  • Little to no travel is expected for this position
