Executive Assistant

Direct Hire/ 5 days a week onsite

Description

The successful candidate will be an integral part of the leadership of the organization, providing a vital communication link between the directors, staff, and Executive Director while also representing our vision and mission to community partners.

Must be comfortable working autonomously and across multiple tasks, and be proficient in Microsoft Word, Excel and Outlook.

Possess social skills and a high degree of personal organization and self-management. Working tight deadlines and able to turn work around within a short time span where demands are liable to change at short notice;

 

Responsibilities include, but are not limited to:

  • Fielding phone calls, taking requests for meetings and coordinating various aspects of interdepartmental communication as necessary.
  • Arranging Board of Directors and management meetings (including client meetings) and minuting where required.
  • Day-to-day management of the Executive Director's organizer and meeting schedule, and liaison with the other Directors and the Chair of the Board.
  • Being a liaison with donors at a high-level on behalf of the Chair and Executive Director.
  • Setting up organization planning meetings and coordinating all meetings in support of team efficiency; working with the Executive Director and other Directors to ensure the team meets organizational outcomes.
  • Providing direct support for the Senior Management team as required, particularly in meeting organization planning targets.
  • Supporting the Chair and Executive Director to prepare information for presentations, media interviews etc.
  • Reconcile credit card charges and facilitate payment by generating purchase orders using an online system.

Education/Experience:

  • Bachelor's degree required; in the field of liberal arts or management preferred.
  • Five years high-level executive assistant experience; nonprofit setting preferred.
  • Experienced with addiction and recovery and working with homeless persons desired.
  • Computer literate with some experience of working in a team in a nonprofit.
