Job Title: Administrative Services Manager

Department: Otorhinolaryngology-Audiology

Location: Hospital of the University of Pennsylvania- 3400 Spruce St

Hours: Full Time

Summary:

  • Plan, direct and coordinate supportive services of the Department. Supervise administrative department operations and employees and ensures smooth operation across department. Direct supervision of Department administrative support staff university and Health systems for department physicians. Serves as a liaison and point person for all faculty onboarding. This position is responsible for all employee relations and HR related issues including position creation, posting, hiring and onboarding. The incumbent in this role is a primary point of contact for facilities related issues, document management system. Point person for compliance related issues, including Visas for visiting scholars, observers, employees, faculty. This position reports to department/division leadership.

Responsibilities:

· Will oversee operations at multiple practice locations (4 sites)

· Supervision, coaching, and development of 6 administrative staff members across 3 sites; assists staff members in addressing challenges and skill deficits.

· Managed the performance evaluation process to ensure reviews accurately reflect the level of service provided, teamwork, performance, and overall contributions to the department.

· Monitors employee compliance reports and maintains employee records to ensure compliance with regulatory requirements.

· Coordination of both inpatient and outpatient services for 17 audiologists

· Act as the liaison to coordinate care between physicians and audiologists including inpatient and work-in requests.

· Work with the Cancer service line to assure access for patients with ototoxic monitoring.

· Assist with research initiatives involving audiology, including data base maintenance

· Manage relationships with hearing aid and cochlear implant manufacturers to arrange for equipment purchase and repairs.

· Process through Lawson RTPs and POs for clinical equipment and vendor services.

· Manage and reconcile records for out-of-pocket payment for hearing aid services, including main inventory database, and quarterly review of University/Hospital benefit database.

· Managing Hearing aid program invoice payments through Accounts Payable and credit payments through Lawson.

· Collaboration with Penn Medicine Accounts Payable Department to manage hearing aid program revenue (> $3 million per year) and assure accurate and timely payment and credits.

· Prepare quarterly/annual reports to assist in devising strategies for minimizing expense and setting annual budget.

· If applicable, manages the audit/survey process for the practice(s)

· Partner with audiologists and department leadership to establish capital and operating budgets for Hearing Aid Program as well as developing performance targets, reporting variances and creating remediation plans.

· Assistant Coordinator for Cochlear Implant Program including monitoring surgery schedule and maintaining database, collaborate with Perioperative services purchasing for device ordering, patient registrations and post-op appointments, direct contact for manufacturer and patient issues.

· Assist and manage special projects as assigned.

· Prepare quarterly/annual reports to assist in devising strategies for minimizing expense and setting annual budget.

Education or Equivalent Experience:

  • Bachelor's Degree Business, Human resources or Health Care administration And 5+ years Management or supervisory experience in an academic/clinical setting

  • Master's Degree Business, Human resources or Health Care administration And 3+ years Management or supervisory experience
