What You’ll Be Doing:

Supplyframe, recently acquired by Siemens, is looking for an Office Manager to be based in our Pasadena, CA office (HQ). This individual will manage all office related activities and provide high-level HR administrative and confidential support. The Office Manager reports directly to the onsite People & Culture Director but also provides support to our executive/senior leaders across the organization globally. The ideal candidate is independent, self-motivated and works efficiently with little to no supervision.

  • Answer incoming phone calls, schedule virtual/in-person meetings & appointments, greet customers/visitors and provide general administrative support to employees

  • Serve as point of contact for office maintenance & amenities, manage inventory for office supplies/equipment (coordinate with IT as needed), handle all shipping & receiving and mail management

  • Act as travel liaison by booking flights, reserving hotel rooms, etc. for internal and external stakeholders

  • Coordinate with facility management vendors, including cleaning, catering and security services

  • HR administrative responsibilities include assisting with onsite interviews and new hire onboarding, data entry, maintaining office health & safety compliance protocols, etc.

  • Coordinate with Marketing on major events from planning, budgeting, timelines, deliverables to execution and debriefing; provide monthly reporting to Accounting and Finance

  • Communicate the company’s policies and best practices throughout day-to-day operations to ensure compliance

Who/What We Are Looking For:

  • At least 2 years of related experience (as an Office Manager, Executive/Administrative Assistance and/or other administrative customer-facing roles) is required

  • Bachelor’s degree is preferred and experience with HR administration/support is a plus

  • Proficiency in Microsoft Office, Apple & Google applications

  • Outstanding verbal and written communication skills; excellent time management skills, ability to multitask and prioritize work in a fast paced environment

  • Attention to detail, problem solving skills and extremely proactive; strong organizational and planning skills

The hourly range for this position is $31.25 to $38.46 and this role is eligible to earn incentive compensation. The actual compensation offered is based on the successful candidate’s work location as well as additional factors, including job-related skills, experience, and relevant education/training.
