AmeriHealth Caritas Services LLC Executive Assistant III (hybrid) in Newtown Square, Pennsylvania

The Executive Assistant III will support the Executive Vice President of Public Affairs and will support the day to day functions of business including scheduling, travel arraignments and other functional business tasks within the business.

Hybrid - 2 days wfh, 3 days Newtown Square, PA

*The Executive Assistant III provides senior administrative support and acts as the confidential assistant to the Senior Vice President of Public Affairs. This role will manage executive scheduling, coordinate logistics for the EVP, and prepare executive-level materials.  You will serve as the eyes and ears for the EVP, connecting organizations, projects, and critical information for the EVP and direct reports. *

The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the EVP's needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the senior leadership team, Board of Directors, and external stakeholders. You will be expected to handle highly sensitive and confidential information while exercising professionalism and discretion.

Responsibilities

  • The ability to prioritize effectively, interact with staff in a fast-paced environment, sometimes under pressure, remain flexible, and be comfortable with a certain amount of ambiguity and changes to calendars/schedules.  Proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role.
  • Demonstrated business acumen with strong interpersonal skills; position continually requires demonstrated tact and diplomacy.
  • Must be able to interact and communicate effectively with individuals at all levels of the organization up to and including the Board level.
  • Confident, self-starter who can work well with minimum supervision.
  • Requires strong attention to detail in composing and proofing materials, establishing priorities, scheduling, and meeting deadlines.
  • Must be flexible in handling multiple tasks of a different nature and have the ability to prioritize efficiently.
  • Problem solver who is quick to figure out solutions and make things happen.
  • Must be able to handle confidential information and issues effectively and without breach of confidentiality.
  • Screening calls and reviewing emails, flagging priority correspondence for the Executive Vice President; may respond on their behalf.
  • Provides support in arranging meetings, including coordinating the agenda, collaboration of presentations/information, a d handling logistics, such as conference registrations, room reservations, and catering (internal and external).
  • Arranges travel; prepares itineraries and compiles documents for travel-related meetings, including synchronizing schedules across multiple time zones.
  • Prepares, evaluates, and verifies for accuracy, expense reports, travel documents, contracts, and other documents. Processes expense reports and invoices.

Job Related Skills & Experiences

  • Associate degree; Bachelor's degree preferred.
  • Five or more years of related experience with a minimum of 3 years supporting C-level or senior-level leaders.
  • Advanced proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Visio required.
  • Prior experience developing presentations for executive-level audiences.
  • Excellent verbal and communication skills.
  • Ability to identify problems, collect and analyze information and recommend solutions.
  • Ability to plan, organize, and handle multiple tasks independently.
  • Excellent judgment in terms of how to conduct oneself and how to deal with others.
  • Experience working with Government Relations, Public Relations or Marketing is preferred.
