The RXR platform manages 93 commercial real estate properties and investments with an aggregate gross asset value of approximately $18 billion, comprising approximately 30.5 million square feet of commercial properties, a multi-family residential portfolio of approximately 9,400 units under operation or development, and control of development rights for an additional approximately 3,000 multi-family and for sale units as of December 31, 2023. Gross asset value compiled by RXR in accordance with company fair value measurement policy and is comprised of capital invested by RXR and its partners, as well as leverage.

Tenant Service Coordinators are front line representatives of the Company and are responsible for receiving, logging and dispatching tenant’s requests for service in an efficient, friendly, and responsible manner. They must be well versed in the Company’s core values and on how their response to tenants’ needs relate to the Company’s mission. They must be capable of accurately conveying the tenant’s needs to the Property Managers and Maintenance Personnel. All responsibilities should be performed in a manner consistent with the Company’s Core Values as well as the building’s business plan.

JOB DUTIES AND RESPONSIBILITIES:

  • Tenant Service Coordinators are front line representatives of the Company and understand that their role is one of hospitality and service. The Tenant Services Coordinator must be capable through excellent communication and customer service skills and a willingness to “go the extra mile”. You will be responsible for tasks related to visitors, work orders, amenities reservations, freight elevator, tenant billing.

  • Utilize Angus/Rise to file and send Insurance Certificates for tenant move ins/outs and contractors; create and update Angus/Rise for quick references of expiration dates.

  • Manage Angus/Rise portals: Freight elevator reservation management, Tenant work orders, billing for services, tenant communication, insurance certificates for tenants and contractors, calculate CPI adjusted charges.

  • Financial Responsibilities: Use of AvidXchange and Yardi, invoice processing, creating and tracking purchase orders, updating monthly accruals.

  • Tenant Communication: Manage tenant calls, emails, and welcome packages for tenants to ensure exceptional service to all tenants and maintain awareness of their wants and needs.

  • Coordinate and Purchase items for the PMO office, Shipping packages/mail. Maintain Pantry and office supplies for all departments.

  • Maintain binders for elevator permits/inspections, window washing rig, violations, janitorial, etc.

  • Update building staff and tenant contact lists, and emergency vendor lists.

  • Provide access for tenant employees via access management software and ensure compliance with relevant policies.

  • Coordinate Tenant move in procedures, and conduct orientation of property and Tenant handbooks.

  • Track and monitor recurring and “one-time” R&M projects to ensure timely and on-budget completion.

  • Maintain and update all office files and Monday.com for tenants, vendors, and contracts.

  • Assist PMO with communication during after hours emergencies when needed.

  • Update the Property Management Handbook on ADP containing policies and procedures for Property Management.

EXPERIENCE/EDUCATION/SOFTWARE:

  • Must have ability to maintain a pleasant and friendly attitude and excellent interpersonal skills.

  • Must be able to develop a good working knowledge of the building and its amenities.

  • Must be creative and should have the esthetic capability to visualize space and develop concepts for marketing, presentation, and cost analysis.

  • Must be a ‘people person’, communicative, an outstanding listener that pays particular attention to details and should be savvy in picking up nuances.

  • Must possess sound judgment and an entrepreneurial spirit.

  • Must be intelligent, highly organized, motivated, self-starter.

  • Must be a hard worker, one who must be diligent and focused, and who enjoys hard work and its rewards.

  • Must be able to effectively work under pressure and can prioritize work to ensure it is completed under intense deadlines.

  • College degree preferred.

  • Must have Microsoft Office, Outlook, Word, and Excel experience.

  • Prefer experience with work order system.

  • Must have propensity for learning new technologies and applications. We use systems such as the below:

  • Angus is used for by tenants and building staff to enter work orders. Work orders need to be dispatched to proper engineer or vendor and closed out with details on how the work was completed or general status of s ticket. Angus is also used for visitor management and tenant notifications.

  • Avid is an online platform for invoice coding, processing, and purchase order issuance. Invoices are to be approved on a regular basis as there are many people involved in the approval process.

  • Monday.com is a platform used to track various items portfolio wide as well as action items on a building level. It’s a tool used for tracking budget process and submittals.

  • Egnyte: For file Storage.

  • Concur: Is an online platform for submitting reimbursements.

  • Utilivisor: A portfolio wide submetering company.

  • Energy Watch: A portfolio wide energy management platform. Ability to see real time energy use, track and download utility usage and invoices. This consultant also administers energy curtailment events throughout the year.
