The Opportunity

We are seeking a Facility Management Assistant to join our Firm. Within this position, you will provide general office support including sorting and delivering mail, office supplies, boxes, office furniture, as well as perform general facility maintenance. You will provide customer service support via telephone and in person. This position will be based in our New York office and has an in-office working schedule of 8:00 a.m. - 4:00 p.m., Monday - Friday.

Essential Functions:

  • Receives and picks up mail, interoffice envelopes, and boxes of varying sizes weighing up to 50 lbs.
  • Processes inbound and outbound U.S. Mail, FedEx, UPS, and other courier services.
  • Processes pouch mail destined for all Firm locations.
  • Uses computer software to process inbound and outbound mail and packages, track and manage Firm's assets, input and manage service requests, and monitor and manage floor plans.
  • Delivers and picks up items within any of the New York area locations alone or with a team member. Team deliveries and pick-ups are of varying sizes and may weigh up to 250 lbs. Individual deliveries/pick-ups may weigh up to 50 lbs.
  • Performs office relocations for Firm personnel, moves and arranges office furniture and equipment as required. Furniture items may weigh up to 250 lbs. and may require the assistance of team members to move.
  • Sets up conference rooms with appropriate furniture and equipment.
  • Cleans and prepares conference rooms as required to meet standards prior to meeting.
  • Defrosts refrigerators and cleans microwave ovens.
  • Stocks and replenishes all cleaning supplies in the appropriate pump rooms.
  • Dusts, cleans, and organizes copy and fax machines as well as network printers.
  • Cleans, removes trash, and supplies firm kitchens, copy rooms, and conference rooms. Requires use of appropriate cleaning materials and chemicals.
  • Monitors the Firm's facilities and equipment. Reports on defects related to equipment performance, lighting, water leaks, general maintenance required, etc.
  • Assists with maintenance functions as needed.
  • Performs preventative maintenance as required including but not limited to sweeping, vacuuming, polishing wood, metal and stone, shampooing furniture and carpets, cleaning walls, and doors.
  • Performs basic repairs to facility and furniture.
  • Performs recycling functions.
  • Installs keyboard trays, pictures, signs, and bulletin boards using the appropriate tools.
  • Supports fitness center personnel with cleaning and laundry functions as assigned.
  • Maintains supply areas and performs regularly scheduled inventory.
  • Dispatches work requests to maintain consistent workflow and complete work in a timely manner.
  • Demonstrates effective interpersonal, written, and verbal communication skills to facilitate effective work relationships with others.
  • Manages Firm resources responsibly.
  • Complies with and understands Firm operation, policies, and procedures.
  • Performs other related duties as assigned.

Qualifications

  • Ability to exert moderate to high physical effort.
  • Ability to learn and utilize safe lifting techniques and the safe use of moving equipment and tools.
  • Knowledge of relevant firm computer software programs (e.g., Word, Outlook, Excel, PowerPoint, Computer Aided Facility Management (CAFM) system), with the ability to learn new software and operating systems.
  • Ability to read, interpret, and follow instructions.
  • Ability to read and interpret floor plans.
  • Ability to take direction and instruction from outsourced supervisory staff.
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing.
  • Demonstrates close attention to detail and consistent follow up skills.
  • Ability to handle multiple projects and shifting priorities.
  • Ability to handle sensitive matters and maintain confidentiality.
  • Ability to organize and prioritize work.
  • Ability to work well in a demanding and fast-paced environment.
  • Ability to work well under pressure.
  • Ability to work well independently as well as effectively within a team.
  • Flexibility to travel.
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs.

Education and Experience:

  • High School diploma or equivalent.
  • Minimum of one year of general work experience.

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.

Salary Details

$47,000 - $52,000
