Job Description The successful candidate will assist with a variety of activities including:
• auditing forms and reports for accurate and complete documentation;
• ensuring applicants comply with data destruction policy;
• organizing and maintaining electronic and paper files in State database systems; • creating meeting notices with internal and external attendees;
• assisting center staff seeking general administrative assistance;
• quality review of letters, reports, and website pages prior to publication;
• updating information in Microsoft Word, PowerPoint, and Excel tracking documents;
• reviewing emails received in centralized mailboxes; responding or rerouting as appropriate.
The minimum qualifications for this position are: • experience working with spreadsheets, tables, or similar report documentation;
• demonstrated knowledge of Microsoft Office, specifically Outlook and Excel;
• familiar with working with confidential documents containing sensitive data
• proficient in scheduling meetings for multiple persons and executive level staff; • proficient in drafting and sending written correspondence and following up, as necessary
The preferred qualifications include:
• proficient at managing deadlines and program timelines
• familiarity with NYS-specific databases and systems (e.g., ITSM, MS Teams, Cisco WebEx, and SharePoint, VMS, Health Commerce System);
• experience working with State processes, like communications, forms, policies and procedures, etc;
• managing electronic tracking systems; • demonstrated experience proofreading or preparing professional documents and correspondence.
