The Contract Administrator is responsible for coordinating in-house review of all incoming Contracts, Subcontracts, Vendor Terms and Credit Applications including the required input from Project Management, Estimating, Safety and Senior Management. This position also consists of clerical work, which involves moderately complex work methods.

Specific responsibilities include:

• Review contracts for content and accuracy compared to Ernest P. Breaux Electrical, LLC quotes and scope letters, using established Ernest P. Breaux Electrical, LLC guidelines and procedures.

• Procures insurance and bonding for projects as required by contract.

• Processes and tracks all Contracts, Subcontracts and Vendor Agreements

• Receives incoming contracts and track review progress to ensure timely turnaround.

• Coordinates review of contracts with Project Managers, Estimating and Safety to ensure bid, scope and other issues are addressed and submits reviewed contracts to upper management for approval.

• Coordinates issue and renewal of all state and local licenses, insurance certificates and bonds as required.

• Educated in compliance with local, state, federal and governmental regulations and laws governing business operations, which includes various business licenses.

• Coordinates turn-over meetings for all awarded contracts and subcontracts with performance terms over 30 days and a value in excess of $500,000.00.

• Coordinates closeout meetings for all contracts and subcontracts with performance terms over 30 days valued in excess of $500,000.00.

• Needs to be able to perform administrative functions and spearhead any documentation requested by management.

• Reviews proposed subcontracts and ensures proper processing. This includes insurance requirements, authorization to sublet, and any change orders issued to a subcontractor.

• Reviews for compliance all Change Orders as submitted by Project Managers to ensure follow-up.

• Establishes and administers standard filing procedures for Project Contract Files.

• Other job tasks as requested by management.

This position is Full-Time, Non-Exempt, and reports to the Contract Administration Manager

Required Education, Experience, and Qualifications:

• High School Diploma or equivalent.

• Effective verbal and written communication skills.

• Knowledgeable with Database Management Systems.

• Basic knowledge of Microsoft Office.

Preferred Education, Experience, and Qualifications:

• Detail-oriented and willing to tackle various ongoing projects in a fast-paced environment.

• Ability to multitask and perform duties outside of the scope of work when necessary.

Travel Requirements:

• Minimal.

Physical/Work Environment Requirements:

• Prolonged periods of sitting at a desk and working on a computer.

• Remaining in a stationary position, often kneeling, standing or sitting for prolonged periods.

• Repeating motions that may include the wrists, hands and/or fingers.

• Light work that includes adjusting and/or moving objects up to 20 pounds.

• Quiet environment.
