Job Summary and Qualifications

As a member of the CereCore Leadership Team, the Manager, Epic Services, is responsible for helping to set direction and leading a team of Epic Analysts and Architects. Key initiatives may include:

The Manager, Epic Services, will work collaboratively with peers and stakeholders to drive internal and external priorities forward. S/he must be an effective communicator and leader who will build and maintain solid relationships with CereCore, HCA, Clients, Key Partners and the Executive Team of Epic. A strong knowledge and record of success with implementing and supporting Epic is a must. It is expected that the Epic Manager has in-depth knowledge and expertise of assigned areas. This individual is responsible for staying abreast of industry best practices and trends. We require individuals with an entrepreneurial mindset to help us drive change.

Additional key responsibilities include developing and maintaining positive relationships with key client stakeholders and vendors. This role will manage resource allocations, maintain and develop product service lines, work with teams to build and improve service delivery tools, ensure client success, and participate in key sales opportunities.

The Manager is responsible for helping with the staffing, recruiting, and engagement of employees reporting up through the service line. This individual should have a proven track record of employee development, engagement and leadership. The individual must be able to cultivate a healthy work environment, provide support, set direction, and motivate a high-performing team in a remote work setting.

The Manager, Epic Services is expected to spend time within our facilities and critical areas to maintain a firm understanding of operations and ensure development and solutions solve the core ask/issue. Travel will be as necessary to complete the various departmental initiatives.

  1. Employee and Professional Development
  • a. Build a high performing team and environment consistent with our mission, vision and values

  • b. Lead, develop and mentor direct reports, managers, and staff

  • c. Hire and retain talented individuals for the Epic team

  • d. Oversee onboarding, training, and ongoing professional development of staff

  • e. Provide consistent feedback to engage staff and improve performance

  • f. Coach/mentor employees and consultants on skills such as communication, sales support, delegation, and escalations

  • g. Advise employees on build and technical requirements, troubleshoot build as needed

  • h. Participate in personal leadership development and succession planning

  • i. Participate in annual action planning based on employee engagement surveys

  • j. Hold timely quarterly performance reviews, regular team meetings, and one-to-one engagement with staff

  • k. Set team goals, oversee performance plan development, performance reviews and salary adjustments l. Adhere to Code of Conduct

  1. Service Line Support
  • a. Grow and develop the assigned portions of Epic Services, which may include: staff augmentation, tier 1 support, tier 2 support, patient portal support, acquisitions, mergers, divestitures, advanced support programs, upgrades, optimization, HCA services, and regulatory needs

  • b. Oversee development of project delivery methodology, internal knowledge management, processes and tools

  • c. Forecast staffing and hiring needs, balancing W2 and contract staff to grow profits

  • d. Evaluate team talent and performance, adjusting to meet deadlines

  • e. Participate in on call rotation for issue escalations

  • f. Understand Epic road map, software capabilities, and strategic priorities

  • g. Advise on internal Epic road map and strategic plan, coordinating across divisions

  • h. Evaluate current and emerging tools and technologies

  • i. Oversee Epic third party integrations and develop positive relationships with vendors

  • j. Assist Director with budget development and cost estimates

  1. Project Delivery
  • a. Meet demands of internal and external opportunities by providing resources and services

  • b. Work across teams and departments to resource projects and meet deadlines

  • c. Participate in sales proposals and contract development

  • d. Work directly with clients in a staff augmentation, management, advisory, or support role

  • e. Organize, plan, assign, and monitor completion of work

  • f. Ensure timely resolution and appropriate escalation of incidents and requests

  • h. Coordinate testing and training efforts for new functionality, upgrades, and updates

  • i. Champion standardization, optimization, and use of best practices in clinical applications

  • j. Promote system security, patient confidentiality, and ensure compliance

  1. Client Partnerships and Success
  • a. Manage new and ongoing client relationships and engagements

  • b. Establish and maintain relationships with outside vendors, professional organizations, contract employees, and external auditors

  • c. Assist with the creation and execution of service level agreements

  • d. Connect with clients regularly to assess needs and satisfaction levels

  • e. Collaborate with leadership to schedule, staff, and deliver services

  • f. Work with team to build client roadmaps and provide clients with information and solutions to assist with their Epic and HIS strategy

  • g. Serve as escalation point for clients, leadership and staff, resolving conflicts involving scheduling, resources and/or technical issues

  • h. Participate in activities to improve departmental and organizational performance

KNOWLEDGE, SKILLS & ABILITIES

  • Exceptional ability to build and maintain relationships across multiple clients and vendors

  • Strong experience in implementation, consulting, and selling within a dynamic healthcare/IT focused market

  • Strong ability to multi-task, negotiate, and execute on new initiatives

  • Strong written and verbal communication skills

  • Demonstrated ability to work in stressful situations

  • Proven ability in achieving strategic, operational, and financial goals

  • Proven leadership in working across teams to successfully execute plans

  • Proven leadership of management and staff in building highly efficient teams maximizing utilization

  • Experience in understanding a broad range of technology solutions including new product development, infrastructure and IT support services

  • Direct experience building and supporting Epic software

  • Experience with process improvement/re-engineering, vendor RFI/RFPs, and documenting clinical and business requirements

  • Comfortable and capable synthesizing, communicating, and presenting information to various stakeholders and teams at all levels

  • Knowledge of JCAHO, HIPAA, ACR, MQSA and other regulatory guidelines

What qualifications you will need:

  • Bachelors Degree preferred

  • Five or more years of relevant work experience

  • Experience in a leadership role preferred
