Job Summary:The Assistant Maintenance Coordinator is responsible for oversight of various Maintenance Department contract(s) to provide the airport with seamless execution of successful contract(s) including overseeing and evaluating contractor performance against performance standards and contract terms, reviewing daily operations, planning, and ongoing review of performance, adjusting as needed and acting as a liaison between internal and external customers for contract specific request related to the contract(s) as directed from the assigned Maintenance Coordinator. Other responsibilities include planning work for maintenance activities, ensuring accurate and timely completion of work, effectively communicating with internal and external business partners of ongoing project/contract work, updating scheduling, status, progress, and payment of work, and inputting and evaluating data in Computerized Maintenance Management System (CMMS).

Essential Job Duties:

  • Oversees specified major maintenance service contracts as directed from the assigned Maintenance Coordinator which can include building, custodial services, baggage handling system, landscaping, janitorial supplies, elevator, escalator, waste removal, fencing and the compressed natural gas station operations and maintenance. Measures contract performance by using Key Performance Indicators (KPIs)
  • Coordinates with contractors, overseeing their operation and maintenance activities, inspecting and evaluating their work against performance standards.
  • Observes and reviews all aspects and tasks of the contract for documentation and maintains records per contract.
  • Ensures vendor/contractor oversight, quality control and contract evaluation meets the project and/or scope requirements.
  • Develops and analyzes computerized maintenance management system (CMMS) reports and operational data to make improvements to system performance, reliability, and operating cost.
  • Maintains monthly reports and other documents, such as budgets, fuel reports, maintenance statistics, baggage handling systems, passenger boarding bridges, contractor payments, and contractor-related inventory.
  • Works with internal and external business partners for contract specific request, i.e. janitorial, landscaping, baggage handling, passenger bo rding bridges, elevators, escalators, waste removal, and fencing.
  • Maintains frequent and open lines of communication with key stakeholders, including airlines, tenants, the Transportation Security Administration (TSA), and other MNAA staff.
  • Assists with planning work and assuring that the work is completed.
  • Recommends plans of action to correct maintenance deficiencies, as they arise. Informs Maintenance Management team and internal business partners of issues within the contract.
  • Oversees and assists with building repair projects.
  • Participates in maintenance department daily operations and responds to after-hour calls.
  • Works closely with Disadvantaged Business Enterprise (DBE) and Small, Minority, and Woman-Owned Business Enterprise (SMWBE) certified firms to assure equality in contract selection and completion of project work.
  • Oversees elevator and escalator daily operation and ongoing maintenance. Reports and plans needed upgrades for equipment.
  • Evaluates the workload between teams and assists with project management.
  • Assists teams with purchase requisition approval, equipment, supply sourcing, and the budgeting process.
  • Reviews and approves correct contractor invoicing.
  • Assists with snow equipment preparation, involved in the coordination and successful execution of needed services during winter events (snow, sleet, ice).
  • Assists with special events at the airport, including setting up the sound system.
  • Orders fuel for the airline ground equipment and maintains the fuel distribution system.
  • Creates documentation for finance to set up billable work orders and documentation for invoice processing.
  • Collaborates with the Purchasing department to obtain bids for projects exceeding a specified financial threshold in accordance with procurement guidelines.
  • Attends meetings to maintain airport operation awareness, represents Maintenance Management, as required.
  • Performs tasks and monitors contract(s) as a back up to other coordinator(s), as necessary.
  • May serve as signatory authority for airport employees and contractors.
  • Follows all safety regulations.
  • Maintains regular and on-time attendance.
