Description
Georgia Military College's Office of Advancement is now accepting applications for an Advancement Services Specialist. The Advancement Services Specialist supports the Advancement Office and GMC Foundation by meticulously managing donation records, ensuring compliance with IRS regulations for 501(c)3 organizations, and maintaining accurate financial records. This role involves processing and acknowledging donations, coordinating scholarship disbursements, generating reports, and assisting with committee operations. Additionally, the Specialist oversees the financial management of LLCs associated with the Foundation, contributing to audits and preparing year-end donor statements to ensure the smooth and compliant operation of the Foundation's financial and administrative activities.
Primary Responsibilities:
Record all payments for donations, sponsorships, or special events in the appropriate fund in Raisers Edge.
Ensure all funds are receipted appropriately according to IRS regulations pertaining to 501(c)3 organizations.
Ensure funds are deposited into the appropriate bank account based on the donor’s intent of the gift.
Ensure appropriate turnaround time on all data entry.
Verify all data through source documents.
Proactively review and update database when required.
Review and coordinate scholarship disbursement with Resource Management
Prepare donor letters of acknowledgement for each donation received.
Prepare letters to individuals to acknowledge donations made as a memorial or to honor individuals specified by the donor.
Perform data searches through use of queries. Prepare ad hoc reports for team members upon request.
Work with various committees within the Foundation Board.
Arrange meeting space, meals, track attendance for meetings.
Attend and assist with minutes for all committee meetings, to include but not limited to
- Operating Committee (monthly), Executive Committee (quarterly) and the Semi-Annual Foundation Board Meeting (twice a year).
Assist with Ad Hoc Committee requests; Governance (meet various times prior to semi-annual foundation meeting) and Investment (meets monthly)
Prepare reports for committee meetings
Manage all financial aspects of three LLC’s for the GMC Foundation to include accounts payable, general ledger and financial reporting.
Prepare year-end donor statements for all
Assist with annual audit
*Criminal background check, drug screen, and credit check must be cleared before any candidate may begin working.
