GENERAL OVERVIEW

The Development Coordinator provides the broad scope of overall support-related activities and/or special projects for Sylvester Development at the University of Miami Miller School of Medicine. The position reports directly to the Executive Director, Development Resources and provides a variety of clerical functions to facilitate efficient operations of the office. In addition, the Development Coordinator is responsible for supporting the Executive Director, Development Resources and the Sylvester fundraising team.

SPECIFIC RESPONSIBILITIES

Core Job Functions:

Supports department and/or department leadership with daily clerical tasks. Collects, reviews, analyzes complex and/or confidential data and prepares reports, charts, budgets and other presentation materials. Responds to or routes non-routine, priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of department leadership. Plans meetings and takes detailed minutes, as needed.

Answers phone calls, provides information to callers or connects callers to appropriate staff. Schedules appointments and updates calendars. Makes travel arrangements and reservations for department leadership and staff, as needed. Composes and types correspondence, such as informative materials; creates spreadsheets and presentations. Greets and provides general support to visitors. Develops and maintains department filing system. Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions (specific to Sylvester Development):

All work performed is expected to be in accordance with the University’s DIRECCT Values, Service Standards, and Leadership Behaviors.

Provides routine and general administrative support for Sylvester Development. Responsible for gift intake and processes gifts for Sylvester Development including gift scanning, gift transmittals, CashPro deposits and credit cards. Processes expense reports for Sylvester Development team. Assists with Tribute processing by tracking and creating acknowledgement/ acknowledgee letters for honor and memorial gifts. Coordinates office service activities such as conference room and mobility space reservations, supply inventory and ordering of supplies. Provide support to other units/staff as needed and serves as back-up for gift processing needs for Medical Development and front desk coverage. Assists with maintenance of office space and equipment: signage, building maintenance, document disposal, equipment inventory, conference room maintenance. Assists Executive Director, Development Resources and Manager, Business Operations with office operations: seating/floor charts, staff list, space access, recruitment, on boarding, and off boarding. Primarily exercises discretion, confidentiality, and independent judgment in daily communications, tasks, and activities. Provides direct customer service, interfacing with other departments to identify and resolve challenges. Prepares correspondence and maintains project files both electronically and in hard copy. Prepares confidential correspondence, reports, and other complex documents. Assists in the preparation of presentations including research and writing. Contacts or responds to inquiries and requests from high-ranking individuals inside and outside of the university.

QUALIFICATIONS

Education:

High school diploma or equivalent required

Experience:

Minimum 3 years of relevant experience
