Amazon Mexico is seeking a dedicated, resourceful, self-motivated Executive Assistant to support the Supply Chain Operations team. This role will support two directors. This role requires attention to detail, understanding business priorities, organizational skills, meeting tight deadlines, juggling multiple critical requests across internal and external stakeholders, and proactively anticipating needs and driving improvements across the leadership team. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior executives inside and outside of the company is critical. The candidate will be comfortable in a fast-paced, goal-focused environment while maintaining flexibility, and composure.

Candidate must understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements to build capacity for the leadership team. A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company is critical. The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the whole picture. The ideal candidate must be able to coordinate the efforts of a team of Executive Assistants and build effective working relationships inside and outside the group.

The Executive Assistant will be a key player of the team with the opportunity to take on special initiatives with increased responsibility to step-up and implement employee engagement programs to enhance the inclusivity and motivation of the entire team.

Key job responsibilities

  • Management of complex frequently changing Directors' calendar and must be able to schedule across multiple calendars

  • Manage ad hoc domestic and international travel

  • Be a trusted advisor and thought partner for Directors as well as proactively suggest recommendations on process improvement as needed

  • Manage expense reports

  • Collaborate with other EA's for ad hoc morale and team building activities.

  • Organize and execute catering for meetings, off-sites, and team social events

  • Track and help drive completion of key deliverables and follow up on outstanding items

  • Act as a liaison for direct reports

  • Document writing, editing, and readiness

  • Maintain and organize confidential information and files

  • Daily use productivity tools such ASANA, SLACK, and Quip

We are open to hiring candidates to work out of one of the following locations:

Mexico City, DIF, MEX

Basic Qualifications

  • High school or equivalent diploma

  • Experience with Microsoft Office products and applications

  • Experience with executive level calendar management

  • 4+ years of senior level leadership support experience

  • Experience with domestic or international travel coordination

Preferred Qualifications

  • Experience in a fast-paced, high-tech company

  • Experience with end-to-end project management
