Hyatt Sales & Events Coordinator in MELBOURNE, Australia

Description:

flexible event space for up to 170 people.

Main Duties

  • To follow all Hyatt Event Standards for answering phone / email enquiries, preparing proposals and contracts, conducting site inspections, planning events, creating event confirmations, event execution and event follow-up

  • To fully and correctly use Envision (EMS) systems by following all policy and procedures. Running regular audit reports to ensure high standard of usage is maintained.

  • To maintain complete records of all sales agreements, contracts and quotes for the hotel as per Hyatt’s Policies & Procedures.

  • To ensure that all hotel, company and local rules, policies and regulations relating to financial record keeping, money handling and licensing are adhered to, including the timely and accurate reporting of financial information.

  • Responsible for conversion, planning and executing small MICE group and event bookings at the hotel, and ensuring correct processes are being followed, including contracting, rooming lists, group blocks, deposits and event orders.

  • Obtain all the Clients event requirements and communicate this information to Excom and operational Department Heads through a Group Briefs, Event Order and in weekly meetings and emails.

  • To deliver the brand promise and provide exceptional client service at all times

  • To provide courteous and professional service to our internal customers in other departments

  • To ensure that all responsibilities and deadlines set out in the Business Plan are met.

  • To attend all internal meetings as required.

  • To assist the Sales team on projects and presentations as required.

  • To assist with follow up as directed in conjunction with the Sales team to ensure maximum conversion.

  • To ensure that rate documents are always accurate and up to date and issue rates on behalf of the Sales department as directed/required.

  • To prepare and send for loading all Sales associated rates at the direction of the DOS.

  • Manage report generation of key accounts as assigned by Sales Team and review monthly and quarterly production targets.

  • Handle incoming FIT booking enquiries through distribution to PACRO. On occasion, make reservations, send confirmations directly to client with cc to relevant personnel.

  • To ensure that Hyatt International corporate standards and policies are reflected in the office and in procedures.

  • To build brand awareness and cross sell all Hyatt Corporate Hotels.

  • Ambassador for Hyatt Place Melbourne.

Qualifications:

  • Computer literate

  • Good customer service skills

  • Flexible mindset
