Note: This is a part-time role and the expectation is to work 2 days per week.

Overview of the role

You will be responsible for supporting the Australian Fixed Interest team. You will also work alongside the Distribution, Marketing, Product, Compliance and Operations teams to ensure effective coordination and communication between the teams. Additionally, you will help coordinate client activity including in-house visits by clients, together with the Melbourne Office Manager and other Distribution team members. You may also be called upon for some base level development of documents, presentation slides and spreadsheet analysis utilizing the assistance of other teams and their members.

Your opportunity

You will:

  • Provide a range of services and functions to assist the Head of Australian Fixed Interest and Fixed Interest team in the performance of their roles. Which will include:

  • Providing Executive Assistance to the Head of Australian Fixed Interest

  • Diary, meeting and travel management/planning

  • Client communication and liaison

  • Co-ordination of team activities

  • Co-ordinating International visitor schedules

  • Data management

  • Management of document storage

  • Production of documents, using Word, Excel and PowerPoint

  • Basic level of analytics work (training can be provided) to assist in production of Excel, Word, PowerPoint documents to assist the Head of Australian Fixed Interest

  • Expense management including invoice and credit card processing

  • Management of relevant third party providers, including travel, office equipment and supplies, caterers, function managers etc

  • Assisting other Janus Henderson employees with administrative tasks as required

  • Working closely with the other EA’s in the Sydney/Melbourne office and utilization of their assistance when requires

  • Working closely with Janus Henderson Staff in London/Denver regarding Australia visits, meeting schedules and ongoing communication

  • Your role will require you to interact with other Janus Henderson offices, employees and third parties based in different time zones such as the UK, USA and Asia

    Must have skills

  • Proven experience as an Executive Assistant or other relevant administrative support experience to senior management

  • In-depth understanding of the entire MS Office suite

  • Ability to meet deadlines in a fast-paced quickly changing environment.

  • A proactive approach to problem-solving with strong decision-making skills

  • Ability to multi-task and prioritize multiple projects and maintaining a strong attention to detail

  • The ability to manage several projects simultaneously, yet still maintaining a strong attention to detail with good ‘auditing’ skills

  • Professional level verbal and written communications skills

  • A team player and possessing a client centricity mindset

  • Either having, or able to develop a good understanding of the business operations of a fund management company

  • Ability to deal with business units across time zones and regions

  • A flexible approach to work requirements when and if required, particularly related to office hours or day-to-day duties as required

    Nice to have skills

  • At least 5-8 years working experience within the financial services industry; prior experience in the asset management industry a plus
