Description

Robert Half is seeking a dynamic and organized Administrative Operations Specialist to join our client's team in the West Metro area. The successful candidate will play a crucial role in enhancing operational efficiency, streamlining processes, and driving success at a broader organizational level. The ideal candidate will have strong communication skills, an entrepreneurial spirit, and a commitment to leadership excellence.

Responsibilities:

  • Identify and anticipate future projects and events, providing timely updates and detailed schedules to internal teams.

  • Coordinate and organize logistics for company events and meetings, ensuring all necessary resources and information are available.

  • Distribute comprehensive event details and project timelines to relevant stakeholders to ensure seamless execution.

  • Develop and implement systems to track and monitor project progress and event preparations.

  • Attend leadership and staff meetings to document detailed notes and capture key takeaways.

  • Prepare and distribute meeting agendas in advance to ensure focused and productive discussions.

  • Send out action items promptly after meetings and ensure all tasks are clearly assigned and understood.

  • Follow up on pending action items to ensure timely completion and address any obstacles preventing progress.

  • Maintain a system for tracking meeting outcomes and action item status to provide regular updates to leadership.

  • Coordinate, track, and compile monthly job tracking reports to support leadership in making informed decisions.

  • Handle warranty and co-op claims efficiently by liaising with manufacturers to ensure timely resolution and payments.

  • Execute and monitor the progress of new product launches, ensuring all relevant parties are informed and deadlines are met.

  • Maintain and update communication lists for product launches and manufacturer price changes to ensure accurate and timely dissemination of information.

  • Collaborate with inside and outside sales teams to manage RMAs, co-op requests, and other administrative tasks, ensuring smooth and efficient operations.

  • Develop and implement procedures and work instructions/SOPs to streamline operations.

  • Develop, implement, and maintain a comprehensive onboarding process to ensure new employees have a smooth and effective integration into the company.

  • Create and manage onboarding schedules, materials, and documentation to provide new hires with a clear and organized introduction to their roles and responsibilities.

  • Manage and enhance social media presence to promote organizational visibility.

    Requirements

  • Advanced skills in Microsoft Office Suite, including SharePoint. Smartsheet experience highly desired.

  • Proficiency with Salesforce or similar CRM systems required.

  • Prior experience in providing operations or administrative assistance support in the HVAC or Plumbing industries is a strong plus.

  • Demonstrated ability to multitask, prioritize, and adapt to rapidly changing business requirements.

  • Keen attention to detail, capable of managing multiple projects and deadlines simultaneously.

  • Exceptional verbal and written communication skills, with the ability to collaborate effectively with team members.

  • Solid project management skills, with a track record of managing complex projects from inception to completion.

  • Demonstrates leadership qualities and the ability to take initiative, driving projects and tasks forward with minimal guidance.
