Hotel Sales Coordinator The Strat (Las Vegas, NV)

Description:

Summary:

Assist the Sales Team to increase effectiveness by providing administrative assistance, information and support to assigned sales managers, Vice President and the sales team in general.

Essential Functions and Responsibilities:

  • Conserve sales team’s time by reading, researching and routing correspondence, drafting letters and documents, maintaining merge documentation, collecting and analyzing information, initiating telecommunications

  • Review and present to Vice President of Sales all items requiring signature, including but not limited to; sales contracts, departmental invoicing and budget items

  • Complete weekly departmental forecast / production updates in a concise and timely fashion

  • Maintain customer confidence and protect operations by keeping information confidential

  • Provide historical reference by developing and utilizing filing and retrieval systems

  • Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies

  • Ensure operation of equipment by completing preventive maintenance requirements, following manufacturers instructions, troubleshooting malfunctions, calling for repairs, maintaining equipment inventories, evaluating new equipment and techniques

  • Communicate in a timely and consistent basis with clients via phone, email and in person

  • Assist sales managers/VP of Sales with client site inspections and when conditions warrant, give site inspections to prospective clients

  • Maintain departmental protocols reviewing, communicating recommended changes as needed to the Vice President of Sales, updating and enforcing departmental Standard Operating Procedures (SOP’S), provide references for users by writing and maintaining user documentation, providing help desk support, training users

  • Retrieve and distribute incoming sales leads from various sources

  • Maintain a listing of all relevant passwords and site information for lead sources

  • Monitor and report for bi-weekly payroll and vacation / sick time tracking

  • Liaison between accounting for all commission payments to outside vendors and internal sales managers

  • Quote room rates and terms, make management level decisions regarding customer/ Hotel needs as directed

  • Carefully review all hotel sales contracts for errors, make sure all contract terms (deposits due, rooming lists due, etc.) are correct and ensure all information input in Delphi matches contract terms

  • Input and maintain Delphi reminders for both coordinator and sales manager pertaining to group actionable items

  • Ensure compliance with all applicable gaming laws and company internal controls, policies and procedures, Title 31, and federal regulations, as they apply to the position

  • Provide outstanding guest service in a timely manner to both guests and fellow team members that meets the company’s guest service culture standards

  • Perform other duties as assigned

Requirements:

Qualifications

  • Previous experience preforming same or similar duties

  • Computer literate (Microsoft Word, Excel, PowerPoint)

  • Excellent written and verbal communication, writing, reporting organization and time management

  • LMS and Delphi expertise preferred

  • Independent decision making skills with little or no supervision

  • High school diploma or equivalent

  • Bachelor’s degree preferred

  • At least 21 years of age

  • Ability to communicate effectively in English, both written and verbal

  • Obtain and maintain all work cards as required by the company

  • Verify right to work in the United States

  • Occasionally push/pull up to 25 lbs.

  • Occasionally lift and/or carry up to 20 lbs. at floor, knee, waist, and/or chest levels

  • Constant use of hearing and vision
