Samaritas Office Manager Fiscal Specialist in Lansing, Michigan

Position Details

FULL TIME - OFFICE MANAGER - FISCAL SPECIALIST - FLINT / ANN ARBOR / JACKSON / LANSING

We are seeking a full time Office Manager - Fiscal Specialist. This is a hybrid role, working from an established home office in the greater Lansing area, providing day-to-day leadership to staff in our Child & Family offices in Ann Arbor, Flint, Lansing and Jackson. Some duties include clerical & administrative support for center operations, performing a ccounts payable functions such as completing vouchers, reconciling of accounts and coding expense reports; generating billing, A/R including cash receipts and bank deposits. Weekly travel to these four offices will be required.

Duties and Responsibilities
  • Maintain current knowledge of, develop, and implement procedures related to effective office operations in accordance with center, division and organization policy and procedures

  • Prepare and process documents for recruitment, new hires, employment/salary changes and terminations under direction of the center director in accordance with personnel policies, human resource development procedures and time lines

  • Develop, distribute and maintain general correspondence, statistical and formal reports and other written materials, forms and documents as assigned

  • Provide on-going leadership to office staff. Participate in recruitment and retention efforts, including, interviewing and hiring. Assist in preparation and implementation of relevant professional. Ensure the delegation of responsibility, authority and accountability

  • Create and maintain personnel and medical only files for each employee, according to established agency and center policies and procedures.

  • Monitor office equipment and space; arrange for repair and maintenance of office equipment, telephones, computers and space. Contact maintenance persons or outside contractors as appropriate

  • Maintain current knowledge of building policies and procedures and inform staff of any changes

  • Inform center administrator of issues that arise

  • Assist with or coordinate special events for the center and the various programs as requested

  • Perform accounts payable as program needs require, such as completing vouchers, reconciling of accounts, and coding expense reports

  • Perform data entry into program relevant databases

  • Generate billings; perform accounts receivables functions including reconciliation of accounts, cash receipts, and bank deposits

  • Identify, document, and resolve all discrepancies between program records and funding source records

  • Work with staff to identify information and data processing needs; facilitate timely submission of data and generation of associated reports


Job Qualifications

Education, Training, and Licensure/Certification

  • Associate's degree in business, accounting, or related field experience preferred

    Experience

  • Minimum two years' office experience required

  • Supervisory experience preferred

  • Two years experience in billing and/or bookkeeping preferred
