Position Summary:

The Executive Assistant serves a critical and multi-faceted role in Research and Technology Transfer (RTT) and the Arkansas Biosciences Institute (ABI). The successful candidate will serve as the primary point of contact for internal and external stakeholders, know and execute the priorities of the Vice Provost, manage the Vice Provost’s calendar and communications, direct correspondences to the correct staff members on the team, and attend meetings with the Vice Provost to provide meeting summaries and action items, including required follow up, to meeting attendees. Qualified candidates will possess exemplary professionalism, build trust with constituencies across campus, including faculty, staff, students, and RTT and ABI team members, demonstrate excellent verbal and written communication skills, be highly organized, handle sensitive information with discretion, and thrive in a demanding and fast-paced environment, remaining cool under pressure. Knowledge of the academic research enterprise is an asset.

Duties & Responsibilities:

  • Manage the Vice Provost’s schedule, including coordinating meetings, appointments, and travel arrangements, including those travel arrangements for other RTT staff

  • Coordinate candidate and special guest visits

  • Organize and prioritize incoming requests and communications for the Vice Provost, ensuring timely responses

  • Serve as the primary liaison between the Vice Provost and other ABI and RTT staff members, university stakeholders, and external partners

  • Prepare and edit correspondence, presentations, reports, and other documents on behalf of the Vice Provost

  • Conduct landscape analysis and gather information as needed to support the Vice Provost in decision-making development of initiatives

  • Maintain confidentiality and handle sensitive information with discretion and professionalism

  • Assist in the planning and execution of events, meetings, and conferences

  • Collaborate with other administrative staff and university departments to streamline processes and enhance efficiency

  • Perform other duties as assigned to support the overall mission and objectives of the Vice Provost

Preferred Qualifications:

An earned Master’s degree in Public Administration or Business Administration or equivalent; experience in an executive assistant role.

Minimum Qualifications:

An earned Bachelor’s Degree from an accredited institution

Proven experience in executive support or administrative roles, preferably in a higher education or research environment
