The Position

We are looking for a highly organized and detail-oriented Assistant to become a part of our team!

In this exciting role, you will play a crucial role in providing administrative support and handling both exciting and complex activities of our global organizational unit. You will also adopt, lead, and implement priorities and key activities in the administrative field with ease.

  • As an Assistant, you will be entrusted with the responsibility of providing operational and administrative support, offering you a high degree of international exposure.

  • One of your duties will be the comprehensive management of travel itineraries, which includes the organization of trips, tracking of travel budgets, and detailed reporting on travel expenditures.

  • You will also be tasked with the meticulous organization of national and international meetings and events, as well as the coordination of virtual gatherings.

  • Your role will also encompass standardized procurement management, involving the ordering of materials, services, and work resources, the dispatch of documents and materials in compliance with regulatory requirements.

  • You will actively collaborate in the planning and monitoring of various project budgets, including personnel and travel, ensuring their effective controlling.

  • A significant part of your role will be to ensure the purpose-oriented flow of communication, primarily focusing on organizational, administrative, and personnel matters, which may include the preparation and dispatch of circulars or announcements.

  • Through broad networking and interaction with other assistants, you will also contribute to the smooth running and continuous improvement of internal processes.

  • Lastly, your responsibilities will include general administrative and secretarial duties like efficient diary management of assigned team leaders or managers, guest registration, and the creation of reports and presentations using MS Office and BI software such as Cora, IDEA, Veeva Vault, and SAP.

Requirements

  • Completed apprenticeship in Office Management, Administrative or Management Assistance, or similar roles, with few years of working experiences in a global setting

  • Possessing hands-on experience or pursuing ongoing education in the dynamic field of project management

  • Attention to detail, great organizational skills, ability to meet tight deadlines, and to accomplish multiple critical requests

  • High level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company

  • Excellent team worker within and across functions; proven ability to work independently, reliable as well as structured and loyal

  • Expertise in MS Office 365 applications, especially new developments, and proficiency in various internal systems (e.g., WeBuy, IVT, Persos/Success Factors, Concur, LOS)

  • Solid experience in leading an administrative office with multiple interfaces at national and international levels

  • Strong organizational skills, open and sophisticated demeanor when interacting with internal teams and national/international clients/colleagues, including Senior Management

  • Outstanding communication skills (written and spoken) in English and German at a C1 level
