Salary:

This position traditionally starts at an annual salary of $60,000. Salary for this position may be commensurate with education and job experience.

Role Overview:

The Events Manager manages all logistics and planning associated with the events hosted by the Indiana Commission for Higher Education. This includes the Student Advocates Conference, H. Kent Weldon Conference, Faculty Leadership Conference, and up to seven (7) Commission meetings per year. The position serves as a point of contact for and works extensively with Commission members to coordinate travel accommodations and provide pre-meeting documents and communications. Internally, this position works closely with the senior leadership and executive teams to coordinate presentations at conferences and Commission meetings.

Key outcomes for this role include:

  • Develop and maintain comprehensive plans and procedures for event logistics for all Commission-hosted conferences and Commission meetings.

  • Track appointment cycles for Commission members and communicate upcoming cycle changes to the Commission’s Chief of Staff.

  • Build strong relationships with key university staff to ensure a strong connection with each of the seven public institutions and the Commission.

  • Provide clear communications to Commission members to ensure they are informed of any significant initiatives prior to Commission meetings and have received proper travel accommodations.

A Day in the Life:

Events and Presentations:

  • Work with the Finance team to create a budget for events.

  • Book venues or establish platforms for virtual events.

  • Coordinate with senior and executive teams to plan presentations and speakers.

  • Determine design needs and work with the Creative Director to generate design elements.

  • Coordinate travel accommodations for speakers, Commission staff, and Commission members.

  • Coordinate and communicate meeting roles for Commission staff.

    Commission Meetings:

  • Be the point of contact for the 14 Commission members.

  • Coordinate hotel accommodations for Commission staff and members.

  • Communicate logistics and meeting information to Commission staff and members in advance.

  • Lead meeting setup and teardown.

  • Track Commission member attendance to ensure meeting quorum.

  • Coordinate with representatives at the public institutions to schedule meetings and create a calendar. Coordinate meetings as they approach.

  • Coordinate with the senior leadership team to develop meeting agendas and ensure timely presentation submissions.

  • Update the Commission website with all meeting materials and meeting logistics.

  • Write the Chair’s remarks and meeting minutes.

  • Work with the Chief of Staff to track Commission member appointments and ensure positions are filled.

  • Coordinate and lead bi-yearly appointments of the Student and Faculty Commission members, including the application process, selection committee, and applicant interviews.

  • Work closely with the Communications Specialist to create press releases.

What You'll Need for Success:

  • Minimum of a bachelor’s degree in a related discipline and three (3) years of relevant work experience in higher education, government, hospitality, event coordination, or related area.

  • Excellent organization and prioritization skills.

  • High ability to manage and prioritize multiple tasks and priorities simultaneously and thrive in a fast-paced, high-profile work environment.

  • Strong planning skills and attention to detail.

  • Excellent interpersonal, written, and verbal communication skills.

  • Some experience creating and executing a budget for an event.

  • Some experience working with vendors is preferred.

  • Ability to anticipate and address needs to ensure successful meetings and events.

Supervisory Responsibilities/Direct Reports:

This role may be utilized in a supervisory capacity based on agency needs.
