We are searching for a Sales and Office Administrator to join our team!

About the Role:

The Sales and Office Administrator position is responsible for general office administration at our Houston, TX facility as well as supporting the sales team across the globe with daily administrative tasks. This will be a meaningful role in improving and scaling our sales operations to help effectively serve our internal and external customer base. You will also assist with implementing tools and systems that are essential for our sales process. This position will have full ownership of office administration tasks while supporting sales team members with customer visits, event planning, internal meetings, onboarding, and continuous improvement.

You will work closely with our Vice President of Sales and primarily work with the sales team. This role will partner with the marketing, finance, product management, and operations teams as required.

Role Responsibilities:

  • Coordinating facility contracts such as IT, Security, office supply, facilities management, etc. and managing purchasing, invoicing, and payment

  • Administrating sales enablement tools such as sales portals, MS Teams Sites, recurring meeting calendars, collaboration forums, etc.

  • Collaborating with global and regional sales operations leaders to support sales data integrity, forecasting, contract documentation, and Customer Relationship management.

  • Coordinating meals, agendas, and logistics for customer meetings, marketing events, internal conferences, training sessions, etc.

  • Primary interface with site landlord and facilities maintenance providers such as security systems, pest control, HVAC maintenance, janitorial service.

  • Distributing sales bulletins, memo’s, minutes of meetings, etc. on behalf of the global sales and North America sales leaders.

  • Administrate reports on an as-needed basis from various sales data systems as requested by Sales VP and Sales Directors.

Basic Qualifications

  • High School Diploma or GED

  • 5+ years of experience in Office Administration, Sales Administration, and/or event planning

Preferred Qualifications

  • Proficiency with the Microsoft Suite (Excel, Word, PowerPoint)

  • Bachelor's degree in business, engineering, or related technical field

  • Experience with SalesForce tools including contract, pipeline, opportunities, and analysis tools

  • Experience with ERP systems, data entry and extraction for analysis

  • Familiarity with Industrial Fire Protection and Detection products and market

  • Familiarity with Oil & Gas industry and automation market
