Position Summary

At GBO we are seeking a General Office Assistant to p erform a variety of challenging clerical, administrative assignments , and book keeping functions, frequently dealing with complex and confidential information.

The preferred location for the position will be based at the GBO in rural Green Bank West Virginia.

What You Will be Doing:

  • Greets and screens visitors, telephone calls, and incoming mail. Uses judgement to handle inquiries which do not require the supervisor's attention.

  • P erform s Shipping and Receiving duties and outgoing and incoming mail duties as well as warehouse functions.

  • Performs miscellaneous office duties, as required. Sends faxes, makes announcements using the internal intercom system, answers the switchboard and maintains copier s and reports usage. . Responsible for coordinating the use and tracking of work vehicles on and off site. Produces and maintains a log of vehicle use and works with the Plant Maintenance staff to ensure that vehicles are safe and in good driving condition.

  • Manages the Accounts Receivable within the GBORS system by receiving payments, issuing receipts, preparing reports, and making bank deposits. This work also entails the fiscal aging analysis report and preparing and sending of overdue bill notices.

  • Reports taxable entries within TaxJar

  • P roduc es primary purchase order receivers for the site, working with the Procurement and Fiscal Departments.

  • Reconciles credit cards and all actual receipts to all cash register totals monthly.

  • Investigates and resolves invoicing issues. Reports any unresolved disputes to management for resolution.

  • Other duties as a ssigned.

    Work Environment

    Work is mission driven, team oriented and typically performed in an office setting within a resear ch or development environment.

    Who You Are :

  • You have a high school diploma or GED or an equivalent combination of education and experience.

  • You have three years of related responsible office support experience or an equivalent combination of training and experience.

    Competency Summary

  • High level of competency in Microsoft software products and web-based systems, Visio and SharePoint.

  • Attention to detail is critical

  • Highly organized

  • Excellen t communication skills

    Additional Requirement s

    The selected candidate must also successfully pass a post-offer, pre-employment background check which includes both credit and criminal, as a condition of employment.

    The employee may occasionally be required to work outside around construction equipment. The employee may occasionally drive a vehicle, lift and/or move up to 50 pounds. The employee frequently is required to communicate in person, by electronic mail, and by telephone. Specific vision abilities required by this job include close vision and ability to adjust focus.

    The starting salary/hourly rate of this position is between $16.00-$17.50 per hour. Factors which may affect starting pay within this range may include; education, experience, skills, competenc ies , other qualifications of the successful candidate, as well as internal equity and labor market conditions .

AUI provides excellent paid time off (13 holidays, annual accrual of up to 24 vacation days and 15 sick days, additional time off for doctor/dentist visits, and 8 weeks of paid parental leave). AUI’s retirement benefit contributes an amount equal to 10 percent of a qualified participant’s base pay with no required employee contribution; we also offer an optional supplemental, tax-deferred plan for emp loyee retirement contributions.
