Hobart and William Smith Colleges Accounting Assistant in Geneva, New York

The Accounting Assistant supports upper-level accounting managers and senior accountants while providing important services within the office. This position is responsible for general accounting functions including preparing journal entries, cash receipts for deposit, monthly account reconciliations, and document collection and maintenance of records.

Essential Responsibilities:

Perform and manage routine financial and accounting tasks

· Enter Journal Entries and file supporting documentation

· Log Cash Receipts

· Prepare Monthly Account Reconciliations

· Enter Business Office purchasing requests into Unimarket

· Obtain reports/statements from third party providers that are needed on a routine basis

· Assist with internal and cross-departmental data collection for required reporting to various agencies (annual audits and tax filing, NYS unclaimed funds reporting and NYS insurance department reporting and audits, annual surveys)

· Enter and maintain security access in Peoplesoft module for budget users

· Obtain signatures on a variety of completed documents and compile and prepare mailing packets.

· Review and distribution of internal and external documents

Provide grant related support

· Process grant cost transfers and monthly departmental grant charges.

· Collect data and documentation for external billing and audits

· Assist with grant closeouts and document retention

Provide account specific and project support

  • Assist with the collection of documentation and the recording of capital asset.

  • Assist with endowment, restricted operating and agency fund program projects. Responsible for maintenance of supporting documentation.

  • Develop an internal process to comply with the College’s Document Retention Policy that occurs on an annual basis.

  • Assist with additional projects as needed.

    Other Information:

    This is a full-time, 12-month, benefits-eligible position. Normal hours of work are 8:30 a.m. to 5:00 p.m. Monday through Friday. This position description is not all-inclusive as other tasks or responsibilities may be assigned. Salary range is $24.50 - 26.00 hourly.

    · Three to five years relevant experience preferred, including accounting education, training, and financial record-keeping experience necessary to perform the responsibilities listed above.

    · Three years of related work or audit experience.

    · Proficiency in the use of computerized general ledger or ERP systems and Microsoft Office programs including Excel, Word, and PowerPoint is required.

    · Thorough understanding of general business practices relevant to not-for-profit organizations and/or for-profit organizations.

    · Superior interpersonal skills with the ability to work with a wide range of campus constituencies.

    · Must have strong organizational and time management skills as well as the ability to communicate effectively.

    · Must be able to work well under pressure, set priorities to meet established deadlines, and handle multiple tasks concurrently.

    · Ability to work independently with minimal supervision and maintain strict confidentiality.

    · Ability to work onsite.

    · The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required.
