Job Description

Gilead's mission is to discover, develop, and deliver therapies that will improve the lives of patients with life-threatening illnesses worldwide. As the Senior Manager, Creative Operations reporting to the Associate Director, Marketing Operations, you will be responsible for the operational management of programs and processes to support how Gilead partners with Agencies to create compelling, effective promotional content and elevates the overall productivity, health and quality of its Agency relationships. Your role will be to partner closely with Marketing, Creative Agencies, PRC, Digital Operations and other internal stakeholders to oversee and manage the end-to-end process of creating, reviewing and deploying content with a modular approach. Modular content is still in the initial phases of implementation at Gilead, and overall Content Excellence ways of working, processes and teams are still evolving and will continue to iterate moving forward. This is an exciting opportunity to contribute to shaping how Gilead continues to optimize its content lifecycle management and approach to deliver more customer-centric and omnichannel-enabled content for HCPs. This role will also be responsible for supporting the operations of various programs and platforms to help maximize the value and impact of Agency relationships at all points of the full partnership lifecycle, including selection, training, performance management, and onboarding/offboarding.

The ideal candidate should be skillful at detailed project management and stakeholder management, open to learning and building new capabilities, comfortable with change and navigating ambiguity when the path forward is not clear, and willing to flex/flow depending on shifting priorities.

This position sits in Foster City, CA (Tuesday-Thursday in office)

Senior Manager, Creative Operations Responsibilities:

  • Lead planning efforts and liase between Marketing, Creative Agencies, PRC, Digital, and other internal stakeholders to ensure the flawless, timely execution of modular content end-to-end from development to delivery

  • Act as subject matter expert to provide guidance on modular content creation workflows and processes to drive excellence

  • Contribute to designing and refining short and long term process flows as Gilead continues on its content excellence journey and evolution

  • Be a champion and change agent for modular content and ways of working as they continue to evolve/iterate

  • Partner with Creative Agencies to manage modular content submission packages to ensure templates/processes are being adhered to in order to enable efficient PRC sprint reviews/discussions

  • Create and maintain comprehensive project plans and documentation, building out of end-to-end schedules and providing trafficking oversight to ensure timely delivery of content

  • Establish and maintain strong relationships with Creative Agencies and Content Delivery Partners who are involved in the development and deployment of promotional materials and partner with them to ensure deliverables are in market according to project timelines

  • Understand deployment needs and timing implications across print and digital channels

  • Partner with Marketing and DAM librarians to support the hygiene of the brand’s element library

  • Manage scheduling of daily Marketing/Agency modular content planning meetings

  • Review calendars and sprint workflows with Marketing teams, Agency partners and PRC specialists for planning purposes and help the team prioritize work where necessary based on business milestones/deadlines

  • Provide training support as new team members are onboarded; contribute to continuous improvements on training materials for internal and external partners

  • Be a champion for Agency Ops programs and excellence across Gilead

  • Provide operational management and support for Agency Operations programs and platforms, such as:

  • Driving participation/engagement in bi-annual agency performance evaluations

  • Ongoing optimization and updating of Agency Ops onboarding and offboarding guidance frameworks

  • Support with Agency searches/RFPs

  • Contributing to implementing new Agency Ops programs as additional value-add services are identified

  • Partner with the broader Strategic Content Operations (SCO) team to knowledge share and support the team’s evolution and growth

Basic Qualifications:

Bachelor’s Degree and 8 years of experience OR

Masters’ Degree and 6 years of experience

Preferred Qualifications:

  • Experience in pharma marketing operations and/or healthcare agency; experience in content management operations and/or modular content/omnichannel creation/delivery is a plus

  • Understanding of legal and regulatory environment in pharmaceutical promotions and pharma industry guidelines

  • Familiarity with platforms such as Veeva PromoMats or similar tools; can learn and adapt to other software tools as necessary

  • Excellent interpersonal skills, collaborative mindset, and customer service orientation; a belief in relationships as a way of doing business

  • Advanced project management skills; detail-oriented and able to handle multiple tasks in a fast-paced environment

  • Self-starter with demonstrated ability to manage competing priorities and business objectives

  • Possesses a growth mindset and ability to embrace change and pivot when needed

  • Comfortable working in an ambiguous, fluid environment where ways of working, people and processes are evolving

  • Ability to influence without authority across internal/external stakeholders

  • Excellent written and verbal communication skills

  • Ability to steer productive meeting discussions and drive toward alignment on outcomes/next steps

  • Strong organizational, analytical, problem-solving skills

  • Able to work independently and as part of a team

  • PMP certification is nice to have but not required

  • Familiarity with agency ways of working preferred

  • Agency management experience preferred; e.g. familiarity with agency searches/RFPs

The salary range for this position is: $154,020.00 - $199,320.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package.
