Overview

Administrative Assistant (BAMC):

Bowhead seeks an Administrative Assistant to join our team in supporting theDepartment of Logistics Brooke Army Medical Center (BAMC) in Fort Sam Houston, TX. The Administrative Assistant must possess excellent attention to detail and organization skills and also be an intermediate user of Microsoft Excel, Word and Outlook. Skills and experience with Microsoft Teams and Access are also crucial for reviewing, analyzing, and implementing recommendations. The Administrative Assistant will assist with the analysis of proposed changes of processes, systems, and/or product design using knowledge of engineering, production, systems, and procurement activities to determine overall effect, and coordinates recording of changes and modifications for management control.

Responsibilities

Essential functions will include:

  • Communicate professionally with vendors and customers utilizing electronic mail and/or telephone.

  • Assists with faxing, filing, copying, scanning, collating, and binding of materials. Prints mailing, filing, and identification labels. Generates and formats reports, forms, and listings by sorting, selecting, and merging documents.

  • Types a variety of materials, memorandums, delegations, documents and/or reports.

  • Prepares meeting minutes and maintains for reference and approval.

  • Assists in requisitioning and maintaining designated forms in stock for office use. Maintains current on-call listings, alert rosters, personnel records, and directories on designated offices and agencies. Maintains administrative calendars, scheduling conferences and meetings.

  • Complete and submit automated Defense Medical Human Resources System - internet (DMHRSi) manpower hour submissions.

  • Assists in preparing travel arrangements.

  • Works in conjunction with the systems administrator in the maintenance and review of the Vendor Credentialing Database. Identifies and notifies vendors when out of compliance.

  • Collects data andsubmits to management monthly reports of non-compliant vendors. Submits vendor names to the database as required per the department.

  • Assist new users with proper use and procedures on the use of the Scrub-Ex/AI-Ex system.

  • Assist in maintaining and updating all spreadsheets to monitor inspections and Regulated Medical Waste (RMW).

Qualifications

  • Highschool Diploma with five (5) years of professional experience.

  • Proficient in Microsoft Office software suite – Word, Excel, Outlook, PowerPoint

  • Solid working knowledge and experience in MS Project Professional and Office applications.

  • Ability to communicate effectively with all levels of employees and outside contacts

  • Strong interpersonal skills and good judgment with the ability to work alone or as part of a team

Physical Demands:

  • Must be able to lift up to 10-15 pounds

  • Must be able to stand and walk for prolonged amounts of time

  • Must be able to twist, bend and squat periodically

SECURITY CLEARANCE REQUIREMENTS: Must be able to obtain a security clearance at the Secret level, however candidates with an active Secret clearance are highly encouraged to apply. US Citizenship is a requirement for Secret clearance at this location.
