Description of Work Unit

Founded in 1870, Colorado State University is among the nation’s leading research universities and enrolls approximately 32,000 undergraduate, graduate, and professional students.

The Association for Undergraduate Education at Research Universities ( UERU ) has been hosted by CSU since 2013 and is housed in the Office of the Provost and Executive Vice President. UERU is an independent national higher education association hosted and supported by CSU . Its purpose is to strengthen undergraduate education at U.S. research universities.

Position Summary

The UERU Coordinator is a full-time, 12-month Administrative Profession position and has primary responsibilities in event coordination, finance, and administrative support. Specifically, the UERU Coordinator will:

  • Manage logistics and execution of 4-6 in-person events each year, including a national conference, two campus-hosted meetings, a summer institute at CSU , and one or more ad hoc specialized meetings;

  • Perform routine UERU financial transactions, in collaboration with Office of the Provost budget leadership and with support from undergraduate student staff;

  • Maintain up-to-date UERU member records, meeting notes, and records of annual membership invoices;

  • Conduct research as needed to support the UERU Board, Executive Director, and/or Director of UERU Development and Strategic Partnerships.

Overall result: Deliver high quality in-person events and conferences comparable to those produced by peer higher education associations, ensure good stewardship of financial resources, accurate records, and sustainable revenue via timely collection of member dues.

Required Job Qualifications

  • Bachelor’s Degree.

  • Ability to work remotely in accordance with UERU supervision of remote work and in accordance with CSU employment policies and practices.

  • Prior experience planning in-person events.

Preferred Job Qualifications

  • 2-3 years of professional experience in U.S. higher education, including specifically working for a research university and/or experience working for an intermediary U.S. higher ed organization.

  • Demonstrable knowledge of current issues in undergraduate education.

  • Ability to understand, prepare, and review basic financial records such as general ledgers, budgets, and invoices.

  • What is done?Planning and successfully executing 4-to-6 major in-person events annually, with guidance from the AD and ED and other staff support (coordinator, student workers)

  • How is it done?Collaborating with and supporting the work of academic-led meeting planning committees (e.g., by preparing agendas, templates, meeting notes, meeting programs). Liaising with strategic partners (e.g., meeting co-hosts and sponsors; hotels, A/V and transportation vendors, advertisers). Arranging staff travel (including via compliance with CSU policies and practices and including participation in all in-person events). Planning for event accessibility, security, and collegiality (e.g., by reviewing ADA issues, health concerns, and proposing engaging formats and venues). Communicating with a wide variety of constituents. Maintaining orderly records. Conducting post-event evaluations/assessments. Engaging in team retrospectives to evaluate lessons learned and plan for continuous improvement.

  • Why is it done?To facilitate networking, shared learning, and collaborative initiatives among UERU’s various constituent groups, and to do so in a cost-effective and professional manner.

  • What is done?Day-to-day execution and tracking of UERU financial transactions, (e.g., paying vendors, preparing travel documents, and disbursing grant funds). Maintaining records of member dues payments and following up with UERU members regarding their dues (which means careful tracking of over 120 relationships).

  • How is it done?Creating organized file systems and maintaining accurate records. Communicating professionally and effectively with member representatives. Complying with CSU policies and procedures and completing forms as required. Completing all required CSU trainings.

  • Why is it done?To support UERU’s activities and initiatives via compliance with professional standards for financial transactions and record-keeping. To ensure responsible stewardship of scare financial resources.

  • What is done?Ad hoc research assignments at the request of the UERU Board, Executive Director, or Director of UERU Development and Strategic Partnerships.

  • How is it done?Conducting online research to gather facts about people, universities, and higher education trends. Entering basic data into Excel and AirTable databases.

  • Why is it done?To support the ED, Director, and AD with basic research tasks, thereby freeing up capacity among those team members for other responsibilities.
