Description of Work Unit

Patient Access, and Registration Services

Patient Experience, Access, and Registration Services at the CSU Health Network provide a crucial link between the students and clinical staff of the Health Network. Essential duties include providing excellent customer service, referring patients and visitors to the appropriate departments, scheduling appointments for patients according to established policies and procedures, entering and verifying insurance and working collaboratively with all health network staff. The Patient Access & Registration staff strive to foster an environment which promotes patient comfort and trust and always exemplify the core values and missions of the organization. The Patient Access & Registration department provides services between the hours of 8:00 am – 5:00 pm Monday-Friday, providing attractive work schedules for staff.

The CSU Health Network ( CSUHN ) at Colorado State University provides a full range of cost-effective mental health and primary care medical services on campus, referral for community specialty care, and comprehensive health education and prevention services programming. Position Summary

The Patient Access Specialist supports the students and staff of the CSU Health Network by providing administrative support, customer service, and facilitating the flow of students through our clinics.

The Patient Access Specialist maintains a high level of professionalism and confidentiality as the first point of contact for students entering the CSU Health Network. This position works closely with providers, support staff and other team members to provide a caring, safe and inviting environment for students to care for their body and mind.

The Patient Access Specialist is full-time, working 40 hours per week, 12 months per year. This position reports directly to the Patient Access and Registration Manager.

Required Job Qualifications

Education

  • High School Diploma (or GED )

Experience

  • Two years of clerical experience, which must have included experience providing customer service, administrative support, and application of medical/mental health terminology and processes

Preferred Job Qualifications

  • Mental health front desk/ administrative experience

  • Experience and ability in developing and maintaining exceptional rapport with and empathetic care of students at times of stress, pressure, and variable patient volume

  • Experience with HIPAA regulations and guidelines

  • Experience and efficient use with Microsoft Office suite

  • Knowledge and experience using electronic health record systems (for example, PyraMED)

Essential Duties

Duty/Responsibility

  • Completes patient check-in through the EHR system and determines if all necessary forms have been completed

  • Verifies student eligibility through the university databases and identifies related fees prior to check-in

  • Gathers, identifies, and accurately inputs billing and health insurance information to ensure successful and timely billing of insurance claims

  • Verifies the health insurance is active and the patient has the appropriate student eligibility to utilize our facility

  • Determines whether an insurance is in- or out-of-network and communicates expected coverage to student

  • Determines if other insurance needs to be billed in the case of a motor vehicle accident, athletic referral, worker’s compensation, or work related physicals

  • Utilizes insurance portals and Availity (insurance clearinghouse) to verify insurance plans if EMR is down

  • Maintains a working knowledge of all insurance providers and their contracted status at the CSU Health Network

  • Notifies student of any need to pay additional fees or provide other community resources if student is unable to use the CSU Health Network

  • Assigns necessary electronic forms to patient’s portal through PyraMed and ensures they have completed the necessary requirements prior to the appointment time; walks them through the process to ensure all steps are completed

  • Schedules appointments based on patient’s request or by reviewing the patient’s EHR for appropriate scheduling

  • Optimizes provider schedules and patient satisfaction with efficient scheduling

  • Screens patient based on chief complaint and schedules them with appropriate clinic/department

  • Ensures all forms are completed for each appointment type to satisfy legal and organization needs

  • Trains new staff and cross-trains

  • Other duties as assigned or delegated by lead or supervisor

  • Provides help desk services to patients and staff to include helping with directions, answering questions, and general assistance

  • Manages walk-in traffic and facilitates the smooth flow of patient movement through CSU Health Network

  • Interacts with irate, frustrated, unhappy, or emotionally distress students and aids in comforting the patient by effectively answering questions and accessing appropriate resources for the patient.

  • Monitors the waiting area for patients that need special assistance (wheelchair, ice pack, urgent nurse triage, etc.)

  • Answers all phone calls in a professional and courteous manner. Manage caller’s request or redirects as appropriate.

  • Uses tagging/tracking system in EHR to help track patients through the clinic and communicate their location to other departments

  • Monitors emergency call, alarm systems, and activates emergency procedure protocol using overhead paging system.

  • Follows local, state, and federal regulations and HIPAA guidelines when releasing or discussing patient information, especially as it relates to releasing medical and billing information to patients or third parties

  • Properly escalate grievances to the next level of support

  • Acts as a liaison between CSU health Network departments with discretion and professionalism

  • Determines if a health information release is on file or if one is needed prior to releasing PHI

  • Other duties as assigned or delegated by lead or supervisor

  • Assists medical records department and scans health history forms that are not in the patients EHR

  • Collects payment for self-pay patients

  • Balances cash drawer, rectifies reports, prints, and submits appropriate reports to accounting

  • Supports new staff by training them on the EHR and all tasks/duties that apply to operations

  • Participates in quality improvement initiatives to enhance the quality of relevant processes and programs

  • Acts as back up for referrals coordination

  • Cross trains and fills in different front desk areas in CSU Health Network

  • Other administrative support duties as assigned or delegated by lead or supervisor
